Allowing Apps access to shared access permissions in Zoom
In the event that a user is given access to other users information within their account, such as scheduling privileges, admin privileges, or any other custom role, it is quite possible that Marketplace apps may also require a larger set of permissions in order to act on behalf of another user when they share access to other user information. This will be the first time we have added a new permission type for this type of access, so that you will be able to control what information you and other users have access to. This will ensure that you are aware of what access you are granting.
Prerequisites
You can grant permissions for your Apps to access shared data by following the steps below:
-
You will need a Zoom account to use Zoom
In reviewing your account’s shared access permissions, you will find the following steps:
-
Owners of accounts, administrators, or users with custom roles who have access to the Marketplace and are able to view and edit it
How to grant Shared Access Permissions during app authorization
The App developer will have the option to use additional information that has been delegated to you by other users when you install the App and authorize the App developer to access your information associated with it. If the App can utilize additional information that has been delegated to you by those other users, the App developer will be able to access that expanded information if you enable the option.
-
It is necessary that you authorize the app’s access to your data after installing the app, so the app can access your data.
-
If you wish to allow this app to use my shared access permissions, tick the box beside the option Allow this app to use my shared access permissions.
-
The installation will be completed once you click Authorize.
How to review permissions for Apps you’ve installed
Having installed some Marketplace Apps in your account, you can review and update any permissions you have for each Marketplace App from the Marketplace App page, or you can do it all together from the Installed Apps page if you already have some Marketplace Apps installed.
For an individual Marketplace App
-
Open the Zoom App Marketplace in your Zoom account by logging in to your account.
-
Open the Marketplace page for the specific app that you installed and search for the app that you installed.
-
Click the Update Permissions link at the bottom of the Manage section after scrolling down the page.
-
It will appear a popup asking for permissions to share app access with other devices and to adjust the permissions to share app access with other devices.
-
It is possible that you have not yet enabled the shared access permissions for this app, so it is recommended that you check the box next to Allow this app to use my shared access permissions and then click Authorize if you wish to enable the expanded permissions.
-
Those who have already given themselves the permission to grant shared access can revoke these permissions by clicking the Revoke Shared Access Permissions link if they want to do so.
-
For all installed Marketplace Apps
-
Open the Zoom App Marketplace in your Zoom account by logging in to your account.
-
Then click the Manage button.
-
Click the Installed Apps menu on the left-hand side of the screen. Your installed apps will be listed in this section.
-
There is a column for Shared Access Permissions that indicates how each App’s permissions have been assigned. If you would like to revoke these permissions, simply click the Update button.
-
As a result, if you have not yet allowed the expanded permissions for this app, you will need to check the check box next to Allow this app to use my shared access permissions before you click on the Authorize button. Once the check box is selected, the app will be allowed to use the expanded permissions.
-
The shared access permissions can be revoked if you have already granted them, by clicking Revoke Shared Access Permissions, if you wish to revoke this access.
-
How to review permissions for all Apps on your account
Whether you are the account owner, the admin of the account, or an administrator with admin access to the Marketplace, you will be able to review all of the Marketplace Apps that have been installed by your users as well as what permissions have been given to each app on your account.
-
Open the Zoom App Marketplace in your Zoom account by logging in to your account.
-
Then click the Manage button.
-
Choose Apps on Account from the left-hand navigation menu on the left-hand side of the screen. There will be a list of all the apps that have been installed by your account users on this page.
-
Choose an app from the list and click on it.
-
There is a list of all users who have installed this App on the Current Subscribers tab. You will find what type of permission each user has for this application in the Permission Type column, which you can find in the Permission Type column.
Permission types
A data access permission is given to each app in one of three different ways. A Marketplace App can be controlled by these settings so that each user can choose how much data which the app has access to about them and their accounts.
-
User: There is only one type of information that the App has access to. This type of information pertains to the user who installed the App. This type of information can include profile information, scheduled and hosted meetings, settings, cloud recordings, and reports, among other things. Some or all of these may also include information on other participants who are part of that information. For example, other participants who are part of the cloud recording of the installed individual may be included in that information.
-
User with Shared Access: There is data that the App has access to, including information about the user who installed the App as well as information about any other users who have delegated additional access to the user that installed the App. As part of the report, you will have access to a variety of information, including your profile information, meetings you have scheduled and hosted, settings, cloud recordings, and reports that you may have generated. As some of these items can include other participants who are also included in the cloud recording for the installation user, some of these items may include others who are also included in that information.
-
Admin: There are several types of information that the App can access, including information associated with the user who installed it, along with account-level data, including user profiles, account settings, cloud recordings, and reports of the account, some of which may include other participants who are included in that information, such as other participants in the cloud recording of the installing user.
