Altering the phone settings (Zoom Web portal)
In case your zoom phone is activated on your respective account then you can view the phone numbers which have been assigned to configure settings like voicemail, call privileges, and business hours.
Remember,
There will be an icon that would signify the restriction imposed by your zoom admin to permit different settings options.
From this article, know about ways of altering phone settings, how you can update the time zone, and how to forward it to the external phone number.
Preconditions of altering the phone settings in the web portal.
- Must have a zoom phone license.
A way for altering the phone settings.

- To the web portal, zoom sign in.
- Then tap on the phone.
- Tap on the settings section for viewing the various user options and information.
Remember, Those settings which are marked with an asterisk(*) are workable for you only when it applies to you. For instance, for those assigned desk phones the desk phone feature is viewable.
- Package. For the outbound calls, it will only display your present calling plan.
- Site. It will display to you the sites to which you belong (in case your zoom admin has enabled multiple sites for the organization).
- Company number. It will show you the main company number with the extension number.
- Numbers. It will show you the direct phone number that has been assigned to you.
- Outbound caller ID. Only displayed when you have been assigned to a calling package. Choose the default caller ID number while using the zoom mobile app or desktop client while making a call. You can also alter the outbound caller ID number before making a call.
Remember,
- Choose Hide caller ID to conceal your caller ID by default.
- This setting won’t apply to desk phones. Alter link key settings for setting the outbound caller ID no. for desk phones.
- You can review the features and limitations of the outbound caller ID number.
- Emergency Address. You can update or add an emergency address for providing first responders while dialing an emergency number.
- Area Code. This option is optional. You can edit or set an area code and can alter it for use in local calls. In case you dial a number without an area code then the zoom phone will apply this area code.
- Country. For using the outbound call you can choose the country code.
Handling calls.
Remember, to ensure the phone user sets the correct time zone in the profile.
Post setting of custom hours, you can customize how inbound calls are rooted in these hours.
- Closed Hours. While personalizing business hours, you can also set the closed hours.
- Holiday Hours. Tap manage for designating specific days as holidays.
- Business Hours. Tap edit for altering the times when you can answer calls. When desired, you can set the business hours to span past 11:30 PM. While working night shifts, this works. Set the business hours in ten minutes increments by manual time entering. For instance, 11:10 PM.
Membership.
- Call Queues. It will view the call queues to which you have been added.
- Receive Call Queue calls. You can disable or enable the call notifications for routed inbound calls and call queues. This setting is also applicable to desk phones, mobile apps, and desktop clients. This setting would sync with the identical mobile app and desktop client settings. You can follow any of these from below-
- To disable or enable every call from call queues. You have to tap on Receive. Call queues call toggle.
Remember. While enabling the toggle then you have to ensure that the previous toggles are off for specific queues.
- To disable or enable particular call queues. Tap on view or edit. You have to enable the toggles for disabling or enabling the call notifications from particular call queues.
- When enabled by your admin then, you have to choose a cause for exiting from the call queue.
- Shared Line Groups. View the shared line groups in which you are a member. You can be a part of anyone shared line group.
- Receiving a call from a shared line group. Disabling or enabling the call notifications for inbound calls which have been routed to your shared line group. This setting is applicable for desktop clients, desk phones, or mobile clients. You can have sync settings across all platforms.
- Monitoring. With monitoring calls discretion, then tap on view to find the phone users, shared line groups, call queues to which you can monitor.
- Monitored. When you have phone users who can monitor you, then you can tap on the view which will enable you to find viable extensions with the privilege.
Assistant and Delegation.
You can allocate another phone user to receive or make calls on your behalf.
Remember,
- While using call delegation your business and closed hours would be applicable.
- While someone allocates you as their delegate, then you can accept the delegation request.
Desk Phone.
- Desk Phones. you can view any device which is visible to your account. Those phones have an online status that can be switched on and provisioned by the zoom phone admin.
- Phone screen lock. Make sure that softer would screen lock. For unlocking the phone screen, you would require a pin. For some devices the feature is irrelevant.
- Allowing Hot Desking. It would enable the hot dealing on the desk phone. It would permit other phone users in zoom sign in or out of the phone.
- Key and Positions. Alter line key settings for setting your outbound caller ID for desk phones and personalizing the line keys appearance.
- PIN code. For inputting the PIN, tap on show or edit. You can use the pin for checking voicemail, screen lock, and getting a deal on your desk phone. The zoom phone admin can also set complex or lengthy requirements for the voicemail pins. For further info, contact the admin.

- Voicemail. Tap on add for sharing the voicemail inbox with other users. From the zoom web portal, phone users can also access shared voicemail inboxes. Tap on x which would revoke the access fit a phone user you have added.

- Blocked extensions or numbers. Block a particular phone number or internal number with an extension. Remember, Input A country code before the phone number. For instance, input the 19830897990, it will block numbers +1 (983) 089-7990.
- Blocking external calls. You can set your customized rule through which you can block external calls while in closed, business, and holiday hours. This setting is applicable for inbound external calls. It would enable the calling to external numbers.
- Audio Prompt Language. From the drop-down menu, you can use a specific default language for auto audio prompts. These notifications play the inbound callers to provide additional instructions. You can record your message after the tone. Click on any key to end a recording.
- User Status. Shows you the status of your zoom phone account. When your zoom account gets deactivated by the admin then you can’t make or receive calls. However, you can also access the voicemail and call history or recordings.
Way of updating the time zone.
Ensure that you have a fixed and appropriate time zone. It affects various zoom phones features comprising the business hour settings and other designed or assigned desk phone ones by your zoom phone admins.
How to update the time zone of your profile?
When the admin provides you a zoom phone license, then you will have an email notification along with a link for setting up the zoom phone.
Step 1. Tap the link in the zoom phone from the email notification. When you don’t get the notification then zoom sign in to the web portal and tap phone.
Step 2. From the drop-down menu tap on the appropriate time.

How to update the time zone on your phone?
When you already have finished the initial setup of your zoom phone account. Also, update the time zone in your profile in this way-
Step 1. Sign in to the Zoom web portal.
Step 2. From the navigation menu, tap on profile.
Step 3. From the date and time section, tap on the time zone from the drop-down menu and then update it. Also, you can alter the date and time format and then match your region.
Way of forwarding an external phone number.
You have to follow the below steps with which you can customize the call handling setting and forward it to an external number that is not included in your zoom account.
Step 1. Zoom sign in to the web portal.
Step 2. tap Phone.
Step 3. Tap on the settings section.
Step 4. During business hours or closed hours, you can tap on the edit near the call handling.
Remember, for editing the call handling settings for the holiday hours, tap manage near the holiday list and call handling. Choose a holiday followed by which tap on edit near the call handling.
Step 5. Tap add a phone number for forwarding the external phone number. For instance, a personal number is not a part of the zoom phone. Also based on your discretion, you either can delete or edit the existing phone numbers.
- Phone number. Input the area code or phone number of the external number.
- Description. Input a description that will assist you in identifying the external number.
- Country or region. Ensure that you have chosen the right country or region in the drop-down menu so that you can add the phone number externally. Few countries have the same country code which appears in the separate entries in the drop-down menu.
Step 6. Tap on save.
Step 7. This is optional. You can pick the checkbox “Require to press 1 before connecting the call” while you think the callers must press 1 before contacting it to external phone numbers which you have added above.
