Assigning Zoom Events licenses
In order for Zoom Events licenses to be assigned to users in your account, you must purchase a Zoom Events license first.
It is possible for users who have been assigned a Zoom Events license to create a hub where they can publish their events once they have been assigned the license.

There are different levels of Zoom Events licenses that determine the size of the session capacity within a Zoom Event. Suppose, for example, that a webinar or meeting host has a Zoom Events 1,000 license, that means they are allowed to have up to 1,000 total attendees in the webinar or meeting session they are holding. Even if the host has a Zoom Events license with a capacity of more than 1,000, a meeting session has a maximum capacity of 1,000 attendees.
Meeting capacity is determined by the Zoom Meeting license capacity if the meeting is scheduled outside of Zoom Events, and the meeting is not part of Zoom Events. -
Users can be assigned both a Zoom Events license as well as a Zoom Webinars license through the Zoom web portal which is available to account owners and administrators. The Zoom Events

license will limit the capacity of Zoom Events in accordance with the Zoom Events license. In order to schedule a stand-alone Zoom Webinar through the web portal, the capacity will be limited as a result of the larger capacity available with a Zoom Webinars license or a Zoom Events license. Zoom Events alone will allow the user to create a stand-alone Zoom webinar through the web portal, as well as schedule Zoom webinars through the Zoom Events license alone.

How to assign Zoom Events licenses

It is recommended that you log in to the Zoom web portal as an admin who has the ability to edit account settings.

Select User Management from the navigation menu and then select Users from the drop-down menu.

Go to the Users tab and click on it.

It is important to find the user to whom you would like to assign a license in the list of names.
Note: If you want to add a user that is not listed in the list, you can use the Search field to search for them and add them. -
Click Edit to the right of the user to whom a license needs to be assigned.
There will be an opening of a new window. -
It is recommended that you select Licensed as the User Type.

You can select Meeting from the drop-down menu on the left.

Check the box next to Zoom Events to enable it.
Note: There is no restriction on how many Zoom Events licenses can be assigned at the same time. -
Then click on the Save button.
How to unassign a Zoom Events licenses
There will be an additional license available to you as soon as you unassign a Zoom Events license, so if/when needed, you can assign it to another user.

Please sign in with your Zoom username and password in order to edit your account settings in the Zoom web portal.

Select User Management from the navigation menu and then select Users from the drop-down menu.

Go to the Users tab and click on it.

Locate the user whose Zoom Events license you wish to unassign from the list of names.
Note: If the user is not listed on the list, you can use the search field to find and add the user. -
If you want to unassign a license from a user, you will need to click the Edit button to the right of the user.
You will be redirected to a new window. -
Zoom Events can be unchecked by unchecking the checkbox.

Then click on the Save button.
Frequently asked questions about Zoom Events licenses
What happens if a user’s Zoom Events license is unassigned or expires?
A notification will be sent to hosts who have been unassigned or whose Zoom Events license has expired to inform them that their license has expired or will show them a banner when they log in to Zoom Events. During the 48-hour grace period, users will be granted a new license to keep their host privileges until they are reassigned a new license.
In the 48-hour grace period following the expiration or unassignment of a user’s Zoom Events license, the user is entitled to:

It will not be possible for them to start any event, not even the upcoming events they created in the past

No new events will be able to be created as a result

In this case, the user will lose all privileges as an organizer and host, as well as access to all data associated with the license that has been unassigned.

As long as the user is re-assigned a Zoom Events license or a Zoom Webinars license, all of their scheduled webinars will be retained; however, the user will need to have a Zoom Webinars license re-assigned to them in order to carry on those webinars.

You will be able to access Zoom Events as an attendee while retaining your privileges as an attendee
Is there a grace period to renewing a Zoom Events license or to have one reassigned back to a user?
It is true. The grace period for the payment is 48 hours. In the next 48 hours, hosts will be notified of any scheduled events that are impacted by the change and will see that any scheduled events that are affected by the change are greyed out. This is to indicate that the events are in a draft state.
What happens to a host and their account if a Zoom Events license is not reassigned to them before the 48-hour grace period ends?
A user’s account will be affected if he or she doesn’t renew their Zoom Events license before the 48-hour grace period ends if they do not renew their Zoom Events license or are assigned a new one before the end of that grace period:

Any hub to which they belong will be removing them as hosts as soon as possible

Their host permissions will be revoked as a result

It is important to understand that they will lose all their events data and all scheduled events-regardless of which event type-will be cancelled; the deleted events data and scheduled events that have been cancelled will not be repopulated if the Zoom Events license is re-assigned to the user.

As a result, any PayPal or Stripe accounts that were linked to their account will be deleted

A draft status will be applied to all their scheduled events that have been scheduled
How do I reassign a Zoom Events license from one user to another?
The Zoom Events license of one user cannot be reassigned to another user under any circumstances. There are no Zoom Events licenses available to assign if there are none available. To assign a Zoom Events license to another user, you must first unassign the license assigned to one user and then reassign the license to another user.
What happens if the Zoom Events license of a user is reassigned to another user?
In the case of Zoom Events, the data is associated with the user account rather than specifically with the Zoom Events license. The following steps should be taken if a license has been reassigned to another individual from a previous license holder:

A new license holder will not be able to access any of the previous license holder’s events, including drafts, published events, and scheduled events that they had created

As long as you reassign the Zoom Events license to a different user in your Zoom account, the information associated with published Zoom Events will not transfer when you reassign the license to that user

In the event that the license is reassigned, no information from the previous license holder’s account will be transferred over
Can I concurrently have a paid Zoom Events license and a free trial Zoom Events license?
It is not. It is not possible to get a free Zoom Events trial license if you are already an existing Zoom Events license holder. Zoom Events trial licenses are only available for free to Pro Meeting license holders or business customers who have made a purchase of a Zoom Meeting license.
How do I upgrade from a free Zoom Events license to a paid Zoom Events license?
It is possible to upgrade your Zoom Events license capacity by contacting one of Zoom’s sales representatives or by going to the Billing page.
In the event that you purchase a Zoom Events license for a fee, please follow these steps:

Your Zoom Events account should remain active as long as you have the free trial license.

You will need to enable the paid Zoom Events license that you have purchased.
Note: It is important to note that both the free trial license and the newly added paid Zoom Events license will be active simultaneously. -
Zoom Events will only be able to operate with a paid license and the free trial license will be disabled.
Can I concurrently have a Zoom Webinars license and a Zoom Events license?
It is true. There is no restriction on the number of Zoom Webinars licenses you can have at the same time, for example, you can have a Zoom Webinars 3000 license and a Zoom Events 1000 license at the same time.
How do I increase the capacity of my Zoom Events license?

Can I apply the new Zoom Events license with higher capacity to events that are already published?
Upon purchasing a higher-capacity Zoom Events license, you will be able to do the following:

The user who will be hosting the event should be assigned the higher-capacity Zoom Events license.

The process of increasing the capacity of a published event can be done by finding the event and editing it.

Make the event more accessible by increasing the number of tickets available:

The number of tickets available for the event can be increased by adding additional tickets.

There should be an increase in the number of tickets for existing events that are available.

If I upgrade my Zoom Webinar license to a Zoom Events license, will my past recordings and/or scheduled upcoming webinars be lost?
It is not. In the event that you are assigned a Zoom Events license, your past webinar data will remain intact, and the webinars you previously hosted will continue to work as usual.
Does my Zoom Webinars license include access to Webinar Backstage?
It is not. A Zoom Events license is required in order to access the Webinar Backstage feature. In order to schedule webinars using Zoom Events or the Zoom Events web portal, Webinar Backstage can be used by Zoom Events license holders.
