Best Practices for Communicating with Participants in Cisco Webex Meetings
A Webex event makes it easy for participants to communicate with each other. Using polls, sharing your screen, or asking for feedback is some of the ways you can engage your community.
As you can see from the screenshots below, Webex Events (classic) allows you to communicate with your attendees via polls, sharing content, or even asking for feedback in order to make sure they have understood what you are trying to convey. It can be a great way for a host to make sure that their guests understand what they are hearing.
Using Polls
When you are hosting an event, you can ask your attendees for feedback by using a poll.
You will automatically be the polling administrator if you are the event host, because by default you are the event host. If you choose to appoint someone to be the polling administrator either before or after the event starts, it is entirely up to you as the host as to who you want to make that person. When it comes to delegating polling responsibilities to someone else, there are a number of reasons why you might need to do so, such as when you do not have time to conduct the polls yourself, or when you must leave an event early.
Before your event, you could create a poll for your attendees to participate in. The advantage of doing this is that attendees will be able to create a poll during the event rather than having to wait until you create a poll afterward, which will save them time. Sharing Content
In your meeting, you can choose to share content by clicking the Share option. A thumbnail preview will appear as part of the Share Content dialog box, which allows you to view thumbnails of all of the open screens and applications, which can be clicked on to get to the actual screens or applications.
My Screen
If you share your computer screen with your attendees, they will be able to see everything on your computer screen at the same time. In the case that you are using a computer with multiple monitors connected to it, you must choose Share from the menu when you place your cursor over the thumbnail of the screen that you desire to share.
File (Including Video)
If you would like to share more than one file with attendees, you can do so. It is possible to share an open file by selecting it on the thumbnail and then clicking the Share button.
When you wish to share a file that is currently open, you can place your cursor over the Share File thumbnail, choose Share, and then select the file that you wish to share. By doing this, you will be able to share the file without opening it first.
Application
Your computer can be shared with attendees if you have applications on it.
The Share button can be accessed from the drop-down menu that appears when the cursor is placed over the thumbnail of an application that is shareable. Place your cursor over the thumbnail of the Other Application while it is not open, and then select Share when the application that you would like to share is not open.
Do not share applications that are displayed on different monitors on your system if you have more than one monitor connected to your system.
Whiteboard
By using the annotation tools, you will be able to create a new whiteboard for writing notes or drawing pictures.
Web Browser
The attendees will be able to access your web browser through the share button. When you open a new tab in your default browser, you can select what you wish to display in the new tab, and as you navigate the web, your attendees can follow along as you navigate the web using the tab in your default browser.
Multimedia
With the help of this software, we can make sure that attendees can access your web pages and multimedia content independently so that they can plan their own activities.
Remote Computer
In case this option is enabled during your event, you will be able to control a remote computer from your location. Connect the computer by selecting it from the list and clicking the Connect button. The Access Anywhere agent must be installed on your computer in order for you to access a remote computer.
My Event Window
Your attendees will be able to see the event window if you share it with them. There will only be one window visible to attendees when they are sitting at your computer, and that is your Webex window.
Assign Privileges
There will be the option to annotate files and whiteboards shared during a conference with other participants when you are sharing your files and whiteboards with them. In the editor, you have the ability to give your panelists and attendees access to a wide variety of text and graphics tools that can allow them to highlight, add notes, and create basic images using their privileges that have been granted to them.
Using the Q&A Panel
There are many advantages to using a Q&A panel when attempting to answer questions from your attendees in a systematic and organized way. A panelist can be assigned a particular question, or their question can be answered in private. A question can be given a priority, deferred or rejected, and an individual panelist can be called upon as needed.
Encouraging Attendee Communication
There are many ways in which communication can take place between you and your attendees. As much as possible, you should encourage attendees to take part in the conversation with you, and this is one of the best ways to encourage them to do so. It can never be overstated how important it is to receive good feedback from your team members.
Feedback Tools
There are a number of feedback tools available to you that can be used whenever you need a quick response in a limited amount of time. In the Feedback menu, your attendee has the option of selecting one of the following options:
In the Feedback Result window, you can see the results of the item selected by an attendee from the Feedback menu next to the attendee’s name after the attendee selects that item from the Feedback menu. The feedback results are cleared by the host in the capacity of the host.
Using Chat or Raise Hand
There will be many opportunities for your guests to interact with you, the panelists, or other attendees if you grant them permission to chat with you, the panelists, or other attendees during an event, via the chat window.
It is possible for your attendees to ask you a question or make a response to you by using the Raise Hand option in the Participant panel. If anyone attended last year’s event, for example, and is able to raise their hand, that would be great.
Tracking Attention
It is possible to see where your presentation is being watched by clicking the Attention Tracking option. An attendee who is attentive is one who is watching what you have to say. Attendees who are inattentive show that they are looking at another program on their computer instead of attending to something at hand.
