Changing settings for phone-licensed rooms in zoom App
Zoom Phone allows you to customize settings, such as a room’s display name, extension number, and caller ID, after you have added a Zoom Room or SIP/H.323 device.
Prerequisites for changing settings for phone-licensed Zoom Rooms and SIP/H.323 devices
- Accounts for professionals, businesses, and educators
- That have admin privileges
- With Zoom Phone
How to access settings
Note:
Additionally, there are global phone settings and policy settings that control how certain phone features are enabled or disabled.
- Zoom’s web portal can be accessed by signing in.
- Click User & Rooms under Phone System Management in the navigation menu.
- On the Zoom Rooms or Polycom/Cisco Rooms page, click the appropriate tab.
- On the Zoom Rooms or Polycom/Cisco Rooms page, click the appropriate tab.
Here is what you will see:
Profile tab
- Site (only visible if you have multiple sites):
- Identifies the site to which the room belongs. To move the room to another site, select another site from the drop-down menu.
- Package:
- A package is assigned when you click Assign. To remove a package, click * next to its name.
- Extension Number:
- The extension number can be changed by clicking Edit.
Note: - Certain extensions are reserved and cannot be changed. There are 6 possible extensions. You can use extensions up to 5 digits and site codes up to 2 digits if you have multiple sites enabled.
- Number(s):
- The direct phone number of this room can be assigned by clicking Assign. Only when a package has been assigned will this setting be visible.
- Emergency Address:
- You can edit the emergency address assigned to the room by clicking Manage. The address assigned to a site or its default address can be selected if you have multiple sites.
- Outbound Caller ID (only visible if you assign a package):
- When making outbound calls from the room, use the drop-down menu to choose the caller ID number to be displayed.
- Country (only visible if you assign a package):
- Shows the emergency address of the room. You cannot use a reserved extension number for a room based on the country.
- Area Code (only visible if you assign a package):
- Change the area code that’s used for outbound calls by clicking Set or Edit.
- Device Type (only visible for Cisco/Polycom rooms):
- This is a display that displays the Cisco/Polycom room’s name.
- Communications Content Storage Location:
- This is where you can manage where Communications Content is stored.

Certain Zoom Phone features can be enabled or disabled through policy settings.

Note:
Inbound calls can be routed differently during custom hours if you set custom hours. Polycom/Cisco rooms do not offer these settings.
- Business Hours:
- You can change the times at which the user can answer calls by clicking Edit. Business hours can be extended past 11:30 p.m. You can also manually enter a time increment of 10 minutes, such as 11:10 p.m.
- Closed Hours:
- You can set closed hours if you customize business hours.
- Holiday Hours:
- You can designate holidays here.
Call handling settings
- Ring the Device:
- Make inbound calls ring or not.
- Ring Duration:
- In the settings below (When not answering a call), you can set the maximum ring duration before the call is handled (If Ring the Device is enabled).
- When a call is not answered:
- During the specified hours, you can select what happens to any unanswered calls.
- Play a message, then disconnect:
- Upon the caller’s request, the message is played and then the call is hung up. You can customize the audio by clicking on Audio Library.
- Disconnect:
- After the call is disconnected a message will not be played.
- Forward to another extension:
- Direct calls to a different extension within your account.
- Forward to External Contacts:
- You can route calls to a contact in an account that lists external users.
