Conduct a Question and Answer Session in Webex Events (Classic)
The question and answer session can be held at any time during a Webex meeting in which you hold a presentation. Hosts can gain feedback about their events by holding Q&A sessions.
Turn Q and A On or Off
The Q & A option needs to be turned on during an event in order to use Q & A during the event. The feature can also be turned off at any time in case you need it.
Make the following changes in the Event window:
-
Windows: Click the Event tab and select the Communication option.
-
Mac: The Webex Event menu can be accessed by selecting Preferences > Tools.
Then select OK after you have checked or unchecked the Q & A box.
Set Privacy Views in Q and A Sessions
When participants are asked questions and answers during a Q & A session, you can choose to hide or reveal the following information so that the privacy of panelists and attendees is protected:
-
Questions sent by attendees are listed below with their names
-
The names of the panelists who responded to the questionnaire
-
For each question and answer, there is a time stamp associated with it
It is always possible to see the names of the attendees and the panelists, as well as the time stamps, on the Q&A panels of the panelists.
By following one of the steps below, you will be able to open the Attendee Options dialog box:
-
Windows: In order to access the Attendee Options section of your Q & A panel, right-click the title bar of the panel.
-
Mac: Then select Attendee Options by holding the control key and clicking on it.
Click OK when the dialog box appears to let you choose which of the options you wish to make visible to attendees, and then select the option you wish them to see.
Assign a Q and A Question
A question can be assigned to you or another member of the panel. There is a tab My Q & A for each designated panelist, with the questions displayed along with the text that is assigned to each question.
In order to assign a question, you need to access the menu option by following the steps below:
-
Windows: If you want to ask a question, right-click on it.
-
Mac: In order to select the question, select the Ctrl key and then click on the question.
To assign this task to a specific individual, choose Assign to > the name of the individual.
-
The Ctrl key should be held down while selecting the questions so that multiple questions can be assigned at the same time.
-
It is still possible to see the assigned text in the event that the assigned question has been answered.
-
In the Q & A panels that attendees participate in, the text assigned does not appear.
Set a Priority for a Question
If you receive any questions on the Q & A panel, you will be able to set priorities — high, medium, or low — for them. In the Prioritized tab, you will see a list of your prioritized questions.
In order to assign a question, you need to access the menu option by following the steps below:
-
Windows: The question can be opened by right-clicking it.
-
Mac: You must select the question by pressing Ctrl and then selecting the answer.
Depending on the priority, you can select High, Medium, or Low.
A column will appear to the left of the Q & A panel as soon as you set a priority for the first time for a question. You can set the priority for a question by selecting it from the icons, choosing High, Medium, or Low according to your preference.
A priority can be removed from a question by selecting the rectangular icon for that question, and then selecting the Clear priority option that appears.
Answer a Question
Unless you choose to send your answer to a question to a participant individually, your answer to a question will appear on all participants’ Q & A panels.
On the Q&A panel, you will see a list of questions, and you can select a question from any of the tabs where the question was received.
The text box below allows you to type your answer.
Before sending your answer, you can edit it before you send it by clicking on the highlighted text and then right-clicking on it (Windows or Mac) or pressing control and clicking on it (Windows). A menu will appear with a list of editing commands that you can choose from.
Upon finishing typing your answer, click the Send button at the bottom of the screen.
It appears on every panelist and attendee’s Q & A panel that they participated in. There is a change in the color of the Q next to the question to blue when it has been answered in order to make it easier for you to identify the answer.
There is a standard response that can be sent to the question if it has been answered verbally: This question has been answered verbally. In order to answer a question verbally, right-click on the question (Windows) or hold down the control key on your keyboard and then click this option.
