Configure and manage your executive service in the calling user portal in webex
When your administrator has enabled executive service for your executive pool, you will be able to assign your assistants to it for the executive service. In addition to that, you will be able to specify when your assistants will take care of certain types of calls.
Assign assistants to your assistant pool
- Click on the Webex Calling icon in the settings section of https://settings.webex.com.
- You can access the additional features from the Call Settings tab in the calling user portal.
- If you would like to add users to your assistant pool, then you need to go to Executive and search for them and select them.
- Save the file by clicking the Save button.
Filter calls sent to your assistant
In order for your assistant to be able to handle the calls you receive, you can use the call filtering option.
- Click on the Webex Calling icon in the settings section of https://settings.webex.com.
- You can access the additional features from the Call Settings tab in the calling user portal.
- Make sure the toggle for Call Filtering is on under Executive.
- There are a number of options you can choose from, including:

All Calls
-
All Internal Calls
-
All External Calls
-
Custom Call Filters—

If you choose this option, you can ensure only certain calls will be forwarded to your executive assistant based on what you specify. Click on the Add New Filter button to create a custom call filter if you have selected that option.
- Then click the Save button.
Using your desk phone, you can enable or disable the call filtering feature based on your preferences. You can activate and deactivate the call filtering options you have set up in the Calling User Portal by entering the following Feature Access Codes (FACs), codes you can enter through the phone’s keypad to control certain features.

Enable call notifications to additional locations
The executive service can be used to notify additional locations if you choose to do so. It is also possible to make these alerts more visually appealing by adding a ring splash to them.
- Click on the Webex Calling icon in the settings section of https://settings.webex.com.
- You can access the additional features from the Call Settings tab in the calling user portal.
- In the Executive section, turn the toggle for Location to ring on.
- The drop-down menu below allows you to select the type of alert you wish to receive:

Silent
-
Ring Splash
- If you wish to alert certain locations, please choose the following:

Single Number Reach (Office Anywhere) location—In the Office Anywhere settings, you can specify the phone number that will be used.

Mobile location—In your mobility settings, you have the option of specifying a phone number.

Shared call appearance locations—Shared call appearances are configured on devices where they are available for use.
- Save the file by clicking the Save button.
Set up ring options, rollover options, and caller ID presentation
A feature that is available within the alerting feature is the ability to configure inbound ring options, rollover options, and how the caller ID is displayed.
- If you wish to use Webex Calling, you will need to go to https://settings.webex.com and select the option.
- You can access the additional features of the call by going to the Call Settings section of the user’s profile.
- Select one of the following alerting modes under Executive > Alerting Mode:

Simultaneous—There should be simultaneous ringing of all the assistant phones.

Sequential—As you can see in the assistant table, the assistant phones are rung in the order that they are listed.
- The following options can be selected if there is no answer to your call:

Send to Voicemail
-
Forward
-
Do nothing
- Select the name and number that will be shown on the assistant’s phone when you receive an incoming call from your line as the caller ID name and number.
- Save the file by clicking on the Save button.
