Customizing default audio settings in zoom
If you wish to set default audio for Zoom Phone prompts and greetings, you can use the Zoom Phone audio library to do so. The prompts and greetings that can be heard before a call is routed are usually played before the call is routed.

How to customize default audio settings

Zoom’s web portal can be accessed by logging in.

You can access the Company Information by clicking on the Phone System Management link in the navigation menu.

If you have multiple sites, you will need to access the settings in the following order:

It is a good idea to click the name of the site you want to edit if you enabled multiple sites.

The following steps should be followed if you have disabled multiple sites: Click on Account Settings.

To access the Settings tab, click on it.

Make sure the default language for the audio prompts is changed under the Audio Prompt section. All extensions are affected by this setting:

Audio Prompt Language: This is the language in which the automated audio prompts are played for inbound callers as a way of conveying additional instructions to them. It is possible to record your message after the tone of your voicemail greeting, which will then be followed by the automated audio prompt: “Please record your message after the tone of your voicemail greeting. Double-tap any key or stop talking to end the recording”.

You can change the default audio settings by clicking the Manage button in the Default Audio Prompt section, then access the audio library by clicking the Audio Library button:

Default audio settings in the website only apply to a few extensions within the site. See the Applies to column in the table below.

In order to indicate that voicemail recording has begun, Zoom will play a tone after voicemail greetings have been played. A standard audio prompt is not available to tell the caller to leave a voicemail after the tone is sounded. In order to make these instructions more visible to callers, you can add them to the default voicemail greeting if you wish.
Default audio settingApplies toGreeting & Leave voicemail instruction: This audio is played before the call is routed to voicemail. It is also important that this greeting includes instructions for leaving a voicemail message. To give you an example, here is the default greeting for phone users.
Greeting & Menu: Leave or check voicemail: This is played before the caller has the option of leaving or checking their voicemail. There are only certain circumstances in which this applies to a phone user’s call handling settings in which the option to allow callers to reach an operator or check their voicemail is enabled.
Phone usersGreeting & Menu: Connect to operator or leave voicemail: A greeting and a menu are played before the caller is given the option to connect to an operator or to leave a voicemail. In order to reach a voicemail box or reach an operator, the user must enable the option in the phone’s call handling settings to allow callers to reach an operator or check their voice mail.
Greeting & Menu: Connect to operator, leave or check voicemail: This greeting plays prior to presenting the caller with the option to connect to the operator, leave a voicemail, and/or check their voicemail. In this case, it is only applicable when the option for the phone user to enable the caller to reach an operator or listen to his/her voicemail has been enabled in the settings for call handling.

Leave voicemail instruction: This is the message that plays after the initial voicemail greeting. As part of this greeting, you should include instructions on how to leave a voicemail. Here is an example of the default greeting that you can play. There is only one condition under which this can be applied, and that is if the caller has the option in their call handling settings to be able to reach an operator or check voicemail.

Message Greeting: This message plays when the call is directed to the message box when the call goes unanswered. (The setting can be set to play a message when the phone is not answered and then disconnect when the message is played).

Audio While Connecting: When inbound callers are trying to reach a particular extension, audio will play while they are connecting.
Call queues are not included in all extensions
Hold Music: While the other party is on hold, the hold music plays for the other party to listen to.

Call queues are not affected by this setting. There is an additional setting in call queues called Music on Hold, which plays when a call is routed to the queue, and then put on hold after a member has placed the call on hold.

Parked calls are not affected by this setting. If a call is parked, the call participant will hear the Zoom hold music on hold even though the call has been placed on hold. For parked calls, you aren’t able to customize the music that plays on hold.
