Direct sharing in Zoom Rooms
With a Zoom Desktop Client (macOS or Windows), participants can share directly from Zoom Rooms with one click. Zoom Desktop Client can detect ultrasonic sound proximity signals generated by the Zoom Room controller.
- When an attendee clicks Share Screen, the Zoom Desktop Client automatically connects to the Zoom Room if the signal is detected in the Zoom Room.
- Participants can use a Sharing Key, which is a string of letters, to enable direct sharing if proximity detection is not available.
Note: Direct sharing with proximity detection detects the Zoom Room controller using the microphone on your laptop. It depends on a number of factors, including the quality of the speaker on the controller and the microphone on the laptop, whether proximity detection works. Direct sharing can be used without proximity detection if proximity detection does not work. Other methods for sharing content to Zoom Rooms include:
- Wireless sharing using share.zoom.us
- Wireless Apple screen mirroring (AirPlay)
- Wired HDMI capture
Prerequisites for direct sharing in Zoom Rooms
- Zoom Rooms for Conference Room for Windows, macOS, or Linux, version 5.0.5 or later
- The Zoom Rooms Controller for iOS, version 5.0.5 or higher
- Zoom Rooms Controller for Android, version 5.0.5 or higher, and a supported device
- running Zoom Desktop for Windows or MacOS, version 5.0 or later
Having Bang and Olufsen audio drivers on your HP computer can prevent proximity sharing from working. - Version 5.0 or higher of Zoom Desktop Client for Linux is required.
If users are using Wayland, the Meeting ID must be entered to share content. - You need a Zoom Rooms account to share content.
- Computer, controller, and computer for sharing Zoom Rooms must be on the same network

How to enable direct sharing for Zoom Rooms (admin)
Account
To configure all Zoom Rooms in your account to use direct sharing:
- Log in to Zoom.
- Under Room Management, click Zoom Rooms.
- Then click Account Settings.
- Click Meetings.
- The Automatic direct sharing using ultrasonic proximity signal option can be enabled by clicking the toggle. Once the verification dialog displays, click Enable to verify the change.
Group of rooms
In order to enable direct share with proximity detection for Zoom Rooms in your account:
- Visit the Zoom website.
- Then click Zoom Rooms under Room Management.
- In the hierarchy, click the level for which you want to enable automatic starting and stopping of meetings. For instance, to enable all rooms in a specific building, click the name of the building.
- Click the Meeting option under the Settings option for the location you selected.
- Click the toggle to enable the Automatic direct sharing with ultrasonic proximity signal option. Once the verification dialog displays, click Enable to verify the change.
How to use direct sharing with proximity detection (user)
- Use the Zoom Rooms controller to start or join a meeting.
- Launch Zoom on your desktop or mobile device.
- Click or tap Share screen in the Zoom client.
- Choose what you want to share, then click or tap Share.
Zoom Rooms will display your shared screen. The screen-sharing controls are also available.
Note: You can also use proximity detection to switch a Zoom Phone call to a Zoom Room.
How to use direct sharing without proximity detection (user)
Desktop client or mobile app
If proximity detection is not available on your Windows or macOS laptop:
- Use the Zoom Rooms controller to start or join a meeting
- In the Zoom Room, press the Share Content or Camera button on the iPad controller.
- Select the Desktop tab.
- Laptop users will be able to share their screens by using the controller and the TV in the Zoom Room. Zoom desktop clients or browsers can be used.
- Click or tap the Share screen button on the Zoom app or desktop client.
- Click Share (desktop) or tap OK (mobile) after entering the sharing key or meeting ID.
Zoom will automatically share your entire screen if you use one of these methods. You can select what to share by using proximity or share.zoom.us if you want to use direct sharing.- Mobile app: Entering your sharing key or meeting ID.
- Desktop client: Entering the sharing key.
- Click or tap Share after selecting the screen or application you wish to share.
Zoom Rooms will display the screens you shared. Screen sharing controls will also be displayed.
Web client
Follow these steps to share your screen using a browser if you do not have a Zoom desktop or mobile client.
- Click here.
- Share your screen with the meeting ID.
- Join the meeting from your browser.
- Click Join and enter your name.
- The Zoom web client will guide you through sharing your screen.
Troubleshooting
Here are some common issues when direct sharing within a Zoom Room:
- Make sure your Zoom Rooms device, especially the controller, meets the prerequisites and is running the latest version.
- Make sure your firewall opens the necessary ports.
- A T2 security chip is used in macOS laptops from 2018 and later that disables the microphone when the lid is closed. The device will not be able to direct share when closed.
- Follow the instructions (page 26) to restore your Crestron TSW-1060 if it continually disconnects and reconnects during Zoom meetings.
