Enable the Auto-Deletion Policy for Webex Recordings
If you want to adjust how long recordings remain accessible, you can define how long they will remain accessible, after which they will be automatically threw away by Webex. It will appear on the recording management page that all administrators have been notified that the policy has been set.
Webex Site Administration
If you are managing your Webex sites with Webex Site Administration, then the following procedure applies to them. CI-linked sites have dimmed the options for retention feature that appear under Site Administration when your site is CI-linked. For managing linked sites, you will need to use Control Hub.
As part of all new Webex accounts, unlimited recording storage is included for a full year. In most cases, the system automatically deletes recordings that are older than 365 days by default.
It is recommended that you use the retention policy to set the storage below the site’s storage cap in order to prevent overage of storage. It is important to monitor the storage requirements of your site and if necessary, purchase additional storage.
As long as you are within 30 days of the deleted recording being deleted, you may be able to restore the recording. There is a 30-day period after which the recordings will be permanently purged from the trash by the system.
- Log into Webex Site Administration and choose Configuration > Common Site Settings > Options and you will be presented with a number of options.
- Ensure the Check Auto-Deletion Policy check box is checked in the Site Options section, and then scroll down to Support Recordings.
- The record retention days field allows you to specify the length of time for which a host will be able to access their recordings (7-3600 days).
Default: 365 days
Range: 7-3600 days
- Then click the Update button.
Webex Control Hub
If you use Control Hub to manage Webex sites, including CI-linked ones, you need to follow the following procedure.
With any new Webex account, you will be able to store unlimited recordings for a full year. Recordings older than 365 days are automatically permanently deleted by default by the system. As a result, the system does not move recordings to the trash whenever it moves them according to the retention policy.
You should set your retention policy so that you can keep the amount of storage you have on your site below the cap that your site has set. As your site requirements change, monitor them and if there is a need for more storage, purchase it.
The system automatically moves deleted recordings to the trash when users delete their recordings. If you want to restore deleted recordings from the trash, you will be able to do so for up to 30 days. In 30 days, the recordings will be permanently deleted by the system.
