Everything about the zoom users updating and batch importing. 

Zoom users now have the exclusive facility of uploading the CSV file. But the feature does not end here, you can also add the zoom users at one time by using the zoom user management. The article highlights the way of importing CSV files, updating the existing users, and at the end know about the needed CSV format. 

 

Preconditions on updating or importing the users. 

 

For accessing those features make sure that- 

  • You have a zoom business, pro, free credit card, enterprise, and education account. 
  • One should have the zoom account owner or admin facilities. 

 

Way to import the fresh zoom users. 

 

For batching the import of new users, there are two stepwise observable procedures. Learn thoroughly below- 

 

The procedure of creating a CSV file for new users. 

 

Step 1. For the zoom web portal, sign in.

Step 2. Go to the navigation panel and there you have to tap on user management followed by the users. 

Step 3. There, tap on the users section. 

Step 4. On the right side top of the page, you will find the import option. There tap on it. 

Step 5. Tap on the download CSV sample for initiating the download of a sample. Based on that start filling out the details. Remember, This step helps in downloading the blank CSV sample for importing the users. 

Step 6. You can tap a file to open any spreadsheet software like Google spreadsheet or Microsoft excel.

Step 7. You have to input the respective information for the CSV format. You will notice any sort of information in distinct columns. Remember that the data for the first three columns are mandatory. The information located in other columns is subject to change once you import the users. 

  • Email address is mandatory.
  • You should fill in the first name. 
  • The surname is also important.
  • Manager.
  • Department.
  • Job Title.
  • IM Group.
  • Location.
  • User Group. 

Step 8. You have to save the spreadsheet with the name  CSV (comma delimited) file. 

Remember,

  • You have to create the CSV files on a distinct individual set for user types and based on that take the features you wish to apply. For instance, when you add the two sets of data for the users then you have to generate distinct CSV files. The users in this regard would include: the basic users without any add ons and the licensed users with the webinar add-ons.
  • In the case of batch importing you would need to import the zoom account owners for a free trial and paid accounts. For that matter, the users should be individually invited to the zoom account. 
  • For each CSV file, the maximum user limit is 9999.

 

How to upload the zoom CSV file?

Step 1. For the zoom web portal, sign in.

Step 2. Go to the navigation panel and there you have to tap on user management followed by the users.

Step 3. There, tap on the users section. 

Step 4. On the right side top of the page, you will find the import option. There tap on it. 

Step 5. Tap on the download CSV sample for initiating the download of a sample. Based on that start filling out the details. Remember, based on the respective features available for the zoom account. You can also have other available columns. Just by tapping on the import tab will enlist for the present columns available in a zoom account. 

Step 5. Choose the features and user type for applying on every user of the CSV file. 

Step 6. Tap on the upload CSV file. 

Step 7. Once you selected the created CSV file then for owning it you have to tap open. 

 

The users would not get displayed at the pending section of the user management. Soon the receipts will get a zoom account activation email which will get displayed in the user’s list once they accept the invitation. 

 

Way of updating the existing zoom users. 

 

You will be enabled on updating and present existing users just by exporting a user-based CSV file, which you can also edit. Once edited you will be enabled on uploading it at the Zoom web portal. 

Remember, importing users’ format and updating the users for CSV is quite distinct. So, before initiating make sure that you are applying the appropriate CSV template. 

 

Step 1. For the zoom web portal, sign in.

Step 2. Go to the navigation panel and there you have to tap on user management followed by the users.

step 3. there’s an export option appearing at the top right side of the page. Select it and then tap on all users in the table. ( This helps in exporting the CSV file for the already present zoom users).

Remember, This will help in exporting the currently displayed files for the users. When you don’t wish to export every user, you can use the filters and search box for displaying a few users. Then tap on export. 

Step 4. For editing the CSV file you can use software like Microsoft Excel to export the CSV matches for the required CSV format. In case you need a blank CSV file for uploading users you can download it. 

Step 5. Again head on to the Zoom web portal for signing in. 

Step 6. Go to the navigation panel and there you have to tap on user management followed by the users.

Step 7. Tap on import. 

Step 8. Then tap on the update users section. 

Step 9. From the drop-down menu, you have to select an action from the listed below options. Followed by that tap on update users information. (User licenses, type, and other information )

Step 10. Tap on an upload CSV file. 

Step 11. Tap the already created CSV file and then open it. 

Remember, in case you are finding it difficult to update your phone number thr you can also manually update it while accessing the profile. 

 

Needed CSV format

  • Note, the CSV would require the specified columns like first name, last name, email, department, phone number, large meeting, zoom events, location, etc. You can delete the extra columns which are on the list and other zoom rooms user profiles. This is specifically necessary while exporting her user’s list and using CSV for uploading the user’s update. 
  • Valid values example- 
  • User Type: licensed, Basic on-prem. 
  • Large meeting. Large 500, Large 100, etc. 
  • Webinar. Webinar 500, 1000, etc. 
  • Zoom Events. Zoom Events 500, etc. 

 

  • The phone number field is based on the external contact number of the user in their respective profile. In the case of the zoom number and phone direct, one can batch assign phone numbers using the Phone system management section of the web portal. 
  • The contact number format field is as below-

[Optional label] + [country code]+ [ phone number].

  • Try to add up to three numbers.
  • The vertical bar would separate more than one phone number. Like,

mobile: +1 8767975458 I +1 87458527966

 

  • The phone number should include the respective criteria-
  • + sign.
  • The country code.
  • Phone number and
  • The area code.

 

  • There is some software available which sometimes does not permit a cell beginning with a + sign. In that case, you should save the CSV file for opening it on the text editor and then add the + sign. When you try to view the CSV file on a text editor the contact number can or can not have the quotation. Both formats will be imported successfully. For Microsoft Excel, it is suggested to use a single quotation mark before initiating the + symbol. It helps in entering the plus sign before formulating the formula. 
  • The label you use can be fax, mobile, home, or office. 
  • Applying one label to each contact number is allowed. 
  • When you are not willing to alter a specified section for the user, then you are suggested to vacate it blank. The blank entry into clear or update the zoom values. For instance, when you leave a department blank and in case the user has a department then the department will not be cleared or altered.
