Get started with your free Webex plan

If you want to take full advantage of your free Webex account, you can use this handy quick reference guide.

You will be able to communicate with other Webex users for free using a free Webex account. With Webex, you can host secure and high-quality virtual meetings lasting up to forty minutes that can be attended by up to 100 people at a time. If you want to access even more features, you should download Webex App, which is free to download.

Sign up for a free account

It is possible to sign up for a free plan right now by going to webex.com and clicking the Start for free button. Follow the instructions to request a user account by entering your e-mail address and following the instructions.

The email you receive will contain a link that will allow you to create a username and password for your account once it has been approved. 

Having troubles logging in to your free account, or receiving a blank activation email, or not receiving an email yet, here is a workaround solution you can use.

Sign in to your Webex site

It is where you go if you want to start a meeting, schedule a meeting, or join a meeting quickly through your Webex account. Aside from messaging and calling options, there is also a free Webex desktop app download available that you can install on your computer.

Go to the Webex site you are using and sign in. 

You can easily access your Webex site by bookmarking it.

The Webex Suite menu can be opened by clicking the app header in the web app. Among the options you have are:

• Vidcast—Video messages can be recorded and shared without the need for a meeting to be held.

• Webex—If you are looking for more features related to calling, meeting, and messaging, then you need to download the desktop version of Webex App.

A new browser window will open with the application you have selected, and you will be able to sign in or register to access the app in it. As the authorization process varies depending on the app, you should follow the instructions shown on the screen. 

To access your Webex Suite settings, click on the Open Webex Suite Settings button.

Download the desktop app

You can download the Webex App for desktop if you would like to access more features, such as Bitmoji, in Webex-to-Webex communication.

Invite your team

If you choose Invite teammates from your Dashboard, you will be able to send them instructions regarding how to get started after entering their email address. On the same page, you can also select Invite people to Webex from the bottom of the page, if you want to send multiple invitations.

We automatically send a reminder email to them if they have not signed up within two days of receiving our invitation. The invitation can be manually resent at any time if you wish.

Create a team

By categorizing several areas under the theme of the team, you are able to keep everything organized easily. In the case of a large project, perhaps you have a team that is made up of cross-department members who are all working together on specific parts of the project as part of the whole. In addition to selecting and adding an emoji to the name of a team, you can also select an emoji for the team as well.

Go to Teams in order to create a new team, and then click the Create a team button.

Create a team space

Whenever you create or join a team in Webex App, you are automatically added to the General space of the team. As the team’s work grows, you might find that you need to create more specialized areas as the team’s needs grow. You and any other team member can create new team spaces.

Select the team for which you want to create a space, then click Create space.

Share files in a space

With the exception of .tif files, most file types can be shared up to 2 GB in a space. The preview feature is also available for documents under 100 MB and with up to 50 pages.

The following file types are supported: .doc, .docx, .gif, .jpeg, .pdf, .png, .ppt, .pptx, .xls, and .xlsx

You can add animated GIFs to the app automatically if their file size is less than 2 MB.

Messages can be shared by dragging and dropping files from desktops or by clicking Attachment and selecting a file.

Connect to audio and video

A preview window appears before the meeting begins, allowing you to select how you wish to participate in audio and video. By using your computer’s audio, you can connect easily.

If you do not want to join the video, you can turn it off before you join. 

Whenever you schedule a meeting, Webex remembers your preferences.

Host your first meeting

The Personal Room can be used to quickly start a meeting. As a virtual conference room, your Personal Room can be viewed as your very own. Share its URL with other Webex users so they can easily remember it. Having a constant URL makes it easy for people to find you whenever they need to.

You can start a meeting right now by clicking Start a meeting on your Webex site’s home page. 

Make sure your Personal Room is locked so that uninvited people cannot join your meetings.

Invite others to your meeting

Send an email or instant message with the meeting link to invite others to a current meeting.

Your Meetings site Calendar can be used to invite attendees when you schedule a meeting.

Nothing will need to be downloaded by your attendees. They can join by clicking on the link in the email invitation.

See who joined the meeting

In the Participants panel, you can verify that everyone who was invited attended the meeting.

Record the meeting

If you can’t attend the meeting, recording it will allow you to refer back to it later and share it with others. Using a free plan, you can save recordings of your meetings to your computer.

• My Computer > Documents is the location where recordings are stored on Windows.

• The Home folder is where recordings are stored on a Mac.

Share content

By sharing your screen, you’ll keep everyone up-to-date and engaged. It is possible for everyone to see what is being discussed if they share their screen in a meeting.
