How to Create a Shift Schedule In Microsoft Teams

It is possible to maintain a schedule for your team members’ shifts in Microsoft Teams with Shifts. You can assign shifts to colleagues, duplicate and repurpose shifts, open up new shifts as they become available, and assign them to teammates as needed.
Schedules and groups
- A new schedule can be created by following the steps below:
- If you would like to create a new schedule from scratch, select Create a new schedule.
- Choose from the list of existing schedules by clicking View.
- Click the Create button at the top of the page for the team you would like to create. The only way to create one is if you are the owner of the team.
- In order to organize your schedule according to the type of job or the location of the job, select Add group.
- If you would like to rename the group, click More options > Rename group, type a name for the group, and then click Save.
- Select the Add people button, then select a person, and then select Add to the group.
Create a shift for a team member
- By selecting a person’s row, and then selecting from the drop-down menu of options, you will be able to add shifts to them by selecting More options > Add shifts from the drop-down menu.
- As soon as you have added or edited the start times, the end times, the custom label, the break times, the shift notes, and the detail’s of the activity, select Save when you are finished.
Copy a shift
- The same shift can be reused on different days of the week by selecting More options > Copy on the shift. You can also use CTRL + C to copy and paste.
- When copying shifts, make sure the Never include shift activities when copying shifts toggle is turned off, and select Done at the bottom of the dialog box to include shift activities when copying shifts in the future.
- To paste, simply select an empty space on the screen and then choose More options > Paste. It is also possible to press the Ctrl + V key at the same time.
Add an open shift
- Select the day you wish to add an open shift to, and then select More options > Add open shifts.
- The copy schedule or select the menu and then select the shift in which you would like to switch to is available if you need to copy or switch to another schedule.
