Engagement reports provide data about who attended a live event and when they left, as well as other information. Those who watched the recording or on-demand version of the event are not included in the report.

Enable the attendee engagement report option

In the How will you produce your live event section, make sure that you check the box next to Attendee engagement report when scheduling the event. The section. There will be no report generated if this is the case.

Here’s how:

You can find the Calendar in Teams by selecting it from the left-hand panel. Afterwards, on the next screen, you will need to choose New meeting > Live event from the upper-right corner of the screen.

You will need to enter the meeting title, the date and time, as well as other details on the next screen. Organize your event, then invite people.

You can scroll down to the How will you produce your live event? Section on the following screen. Check the Attendee engagement report box in the section.

Download the attendee engagement report

The Attendee engagement report can be downloaded after the event has concluded by selecting its download icon.

Using the attendee engagement report

Microsoft Excel or any other application that supports the .CSV format can open the report downloaded in .CSV (comma-separated values) format.

There are a number of values that can be listed in the report, including:

  • Session ID: Session identifiers are unique to each session. Below is an example of a session being joined, then left (ended) in the same order.
  • Participant ID: In email format, the session username. (This field may be blank depending on the settings of the live event and the participant.)
  • Full Name: Participants in this session are identified by their names. In some cases, this may be blank (depending on the setting of the live event and the participant.)
  • UserAgent: Provides information about the participant’s browser.
  • UTC Event Timestamp: Each item in the .CSV file is displayed with the date and time. Listed items are sorted by time of occurrence in ascending order.
  • Action: The status of the live event participant is either joined or left.
  • Role: Participants can be attendees or event team members, such as producers or presenters.

An event team member is akanbi@contoso.com in this example. The .CSV sample below shows when she joins and leaves the event.

As a means of indicating that the two actions concern the same individual, both join Actions and leave Actions are tagged with the same Session ID.

Frequently Asked Questions

During the meeting

The meeting controls are located there. You can download the current attendance list by clicking More actions, then selecting Download attendance list. This is an Excel-compatible CSV file.

Take Attendance in Teams
  1. The right column of the meeting controls will appear as soon as the Participants icon is clicked or tapped on the meeting controls.
  2. You can select the icon of a three-dot in the “Participants” column by clicking on the icon or tapping it.
  3. A drop-down menu appears on the right side of the screen. The attendance list can be downloaded by clicking or tapping the Download button.
