 How to Join a breakout room In Microsoft Teams

When the meeting organizer sets up breakout rooms during a meeting, you’ll be able to discuss meeting items and collaborate with colleagues in a small group setting.

If the organizer opens the breakout room, you will be immediately moved into the room that has been assigned to you. A message will appear inviting you to join the room if you do not choose to join the room immediately.

Desktop

In the event that you receive a notification, please select the Join room option.

Chat in a breakout room

There is a separate chat room for each breakout room.

  • In the breakout room, select Chat from the menu.

Note: A room chat can only continue while the breakout room is open. It can be ended when the breakout room closes. It still remains possible for you to view any shared files as well as the chat history.

Return to the main meeting

Click on Return to rejoin the main discussion in the meeting if the meeting organizer has enabled the option.

Once you have selected Join room, you will be taken back to your breakout room.

Mobile

In the event that a notice is sent to you, select Join.

A banner at the top of your screen will welcome you if you missed the notice, so you can join even if you missed it.

Chat in a breakout room

  • The breakout room will open with a chat option.

Note: The chat cannot be continued after the breakout room closes, so you will not be able to carry on with the conversation after the breakout room closes. The chat history and any files that have been shared with you will still be available for you to view.

Return to the main meeting

Click on Return to rejoin the main discussion in the meeting if the meeting organizer has enabled the option.

Once you have selected Join room, you will be taken back to your breakout room.

Why am I unable to use breakout rooms when I am in a Teams meeting? This is something I haven’t been able to figure out why it isn’t possible. The meeting controls at the top of the page allow you to see the meetings that you have scheduled, such as private meetings, Meet Now meetings, channel meetings, and channel Meet Now meetings. The meeting must also be joined from a Windows or macOS Teams client that is compatible with Teams.
 
Breakout rooms can also be assigned by the organiser to external users and guests. Selecting Automatically will result in the rooms being created and automatically populated by Teams when you choose this option. In order to assign users to rooms manually, you can either set up a group of teams to assign users to those rooms utilizing the automatic setting or you can dictate how many rooms you want (maximum 50).
 
Therefore, I would like to know who is responsible for managing the breakout rooms? In Microsoft Teams, breakout rooms can only be managed by a manager or organizer, and only one person can manage a breakout room at a time, and they can only be set up by the organizer. Presenters are able to create and run breakout rooms on their own, but they cannot create breakout rooms on their own, as they need the organizer’s help to do so.
