How to Play and share a meeting recording in Teams
Important: It is our understanding that Microsoft Stream will no longer store recordings of Teams meetings as of early 2021. OneDrive and SharePoint are now the only places where meeting recordings are saved.
Play a meeting recording
In the case of the recording, it will be available after the meeting has ended (so not necessarily when the actual meeting has ended).
The recording of a meeting can be found under the Details tab of the event in your calendar that is corresponding to the meeting you attended.
As an option, a channel meeting can be recorded in the event that you select it from the chat conversation within the channel in the event of a channel meeting.
The recording of the meeting can also be accessed in OneDrive or SharePoint if the recording is stored on the server, and if the meeting was held via a chat or if it was held through a channel, you can choose to open the recording in OneDrive or SharePoint.
Important: In the case where your organization still uses Microsoft Stream, which is not OneDrive or SharePoint, you will be able to access the recording by selecting My Content > Videos from Stream.
Meeting recording storage and permissions
The recordings of team meetings will be stored in OneDrive or SharePoint, depending on the type of meeting that was held.
There will be a specified timeframe after which a recording will be automatically deleted after which it will expire and be automatically deleted after it has expired. You can change or remove the expiration date of any recording at any time in your admin account. However, it is determined by the amount of time the recording is available. Important:
- There is a way you can change permissions so that people without access to your organization’s OneDrive and SharePoint can view a recording of a meeting if they are still using Microsoft Stream (not OneDrive or SharePoint) for recording meetings.
- Stream needs to be opened in order to update the video details of the meeting. For more information, you can visit the following link.
Channel meetings
There will be a Recordings folder in the Files tab for the channel in which the recordings of channel meetings will be stored.
Besides the SharePoint site files, you can also find all the files that are stored in the channel’s document library. You can find these by going to the Files tab on the SharePoint site. Those who are members of this channel are expected to have the ability to edit and view recordings as they are uploaded, as well as view them at any time.
All other meetings
If the person who initiated the recording of the non-channel recording opts to keep it on their OneDrive account, then all of the recordings will be located in the recording folder of the network folder of the person who initiated the recording. The recording can also be started without having to set up a channel, which is an easy way for you to make it as easy as possible for you.
Share a link to a meeting recording with others
You can share a recording of a meeting with someone who wasn’t invited to the meeting, just like you would share any other file. If you recorded the meeting or organized it, you can share the recording with people who weren’t invited.
There are two ways to share a file with people when you have it in OneDrive or SharePoint. You can either find the file and share it directly with people, or you can copy and share a link to the file using any method that meets your needs.
In spite of the fact that you did not record the meeting or organize it, you can share the recording of the meeting with people who weren’t invited to the meeting. The organizer or the recorder of the meeting needs to approve your action before it can be shared with anyone else. This approval has to come from either the organizer or recorder of the meeting, respectively.
Download a meeting recording
It is only possible for the person who started the recording of the meeting, as well as the organizer of the meeting, to be able to download the recording of the meeting. The following steps explain how you can download a meeting recording if your organization is still using Microsoft Stream to store recordings and you are the meeting owner or recorder.
- If you are looking for the meeting recording that you would like to view in Microsoft Stream, select More Options in the chat history and select the recording you would like to open.
- Click on the Download original video option on the Microsoft Stream portal.
- By selecting the Attach button beneath the compose box, you will be able to add the video to a Teams conversation. It is up to you to decide how you would like to share the recording with others.
