How to use Zoom-Introducing how to customize! Let’s master Zoom further

In this article, we will introduce some of the features of Zoom that can be used more deeply.

This is for those who have mastered the basics, so if you want to learn how to use Zoom from now on , please read ” Master how to use Zoom. Basically, this is all you need! “.

Zoom also has the advantage that it can be used by default and is ready to use. However, you can make more effective use of it by making full use of customization.

If you can understand and utilize this customized version, you can say that your understanding of Zoom is quite deep.

Let’s master how to use Zoom together so that we can understand Zoom better.

Indispensable customization to know how to use Zoom

You can use Zoom with just the basic functions you use when you start Zoom, but that’s not the only function you can use with Zoom.

In fact, the features available in Zoom can be customized. This time, I would like to introduce “My Profile” and “My Meeting Settings” among the functions.

My profile? My meeting settings? ?? What that? ?? ?? Some people may feel that. It can’t be helped either.

Zoom is an easy-to-use web conferencing system with a full range of initial settings. However, changing this setting makes it even more convenient.

This setting can be changed by signing in to My Page from the official Zoom website.

Click here for Zoom official website

When you visit Zoom’s My Page, you will find many choices on the left. You will be able to customize your Zoom with each of these items.

You can also access My Page from Zoom installed on your computer.

After launching Zoom and signing in, click “Settings” in the upper right corner of the main page.

The setting is like this screen.

There is an item “Edit advanced options” in the setting screen “General” or “Account”, and if you click here, the browser will be launched and you can access My Page.

Then, I will pick up and explain in order from here.

How to use my profile

My profile is a collection of basic information about what you have registered with Zoom. You can also change your registered email address and password here.

Click “My Profile” from the list on the left side of My Page.

How to use My Profile Change in Zoom

Here you can set the name displayed while using Zoom and the image displayed when the camera is turned off. Click “Edit” on the right to edit.

Click here to change the name information and so on. When you’re done making changes, click Save Settings and you’re done.

If you want to change the image, click “Change” on the left side of the screen.

Then, you will be asked to upload the image you want to use, so select “Upload” at the bottom left of the screen.

The image data that can be used is one of the JPG, JPEG, GIF, and PNG formats. The file size of the image seems to be up to 12MG. (Since the display on the site is 12M2 … I hope this display will be improved by upgrading.)

When you upload an image, you will be asked to crop the size of the image you want to display. Cut out the part you want to use.

If you turn off the camera, it will be a murky scene, but you can alleviate it by setting an image.

How to use your personal meeting ID

When you create a Zoom account, you will be given a personal meeting ID. By default, this personal meeting ID is turned off, so a different ID will be displayed randomly each time.

Your personal meeting ID is the 10-digit number shown in the black area in the image below.

It is the personal meeting ID that can fix this. If you use this, you do not have to send the ID every time, so it is a recommended function when using it with fixed members.

To use your personal meeting ID, click “Edit” and then check the “Use personal meeting ID for immediate meetings” box.

email address

Here, you can change the email address you set initially. I don’t think there will be many changes, but it’s a good idea to remember.

To use it, click “Edit” in the upper right corner as you would any other.

User type

The user type indicates your current account grade. If you would like to upgrade from the current grade, please click “Upgrade” written in blue.

Time zone

You can set which country your account is based on when using Zoom. Basically, I think it will be Japan, so let’s select “(GMT + 9: 00) Osaka, Sapporo, Tokyo”. I think that is often the case from the initial settings, but let’s check.

You can set the language here. Please note that the language selected here will be reflected in all the languages in My Page.

To change it, click “Edit” on the right and select the language.

password

The sign-in password allows you to change the sign-in password you have set. By clicking “Edit” on the right side, you will be prompted to enter the old password and new password. Follow the instructions to proceed with the change.

In many cases, these settings will remain the same once they are set first, but it is better to set the image settings in particular. By giving the impression that you are using Zoom firmly, you can increase the trust of your customers.

How to use My Meeting Settings

In My Meeting Settings, you can make detailed settings for the actual meeting. You can use it with the initial settings, but you can customize it to make it even more convenient.

First, click “My Meeting Settings” from the list on the left side of My Page.

There are three types of My Meeting settings: “Meeting”, “Record”, and “Phone”. This time, I will introduce “meeting” and “recording”.

How to use the meeting

Various settings of the “Meeting” item can be switched ON / OFF by clicking the round button on the right side.

When the button is on the right side and the bar is blue, it is ON, when the button is on the left side and the bar is gray, it is OFF.

This is when the OFF setting is made.

At this time, the setting is ON.

Here, we have carefully selected the functions that you should especially remember from “My Meeting Settings”! All of them are usable functions, so please try them once.

How to schedule a meeting

Here, set the settings before starting the meeting. I will introduce each of them.

Please note that the Japanese is a little strange, but the content as of today (as of February 2018) is displayed as it is.

I would like to expect that these details will be reviewed at the timing of the update.

Host video

This can be set to start the meeting when you, the host, turn on the video.

Participant video

On the contrary, this is the setting that the meeting starts when the participant turns on the video.

Voice type

You can set whether to use the voice on the computer or the telephone during the meeting. Considering the width of the participants, it is better to correspond to both.

Participation in front of the host

When this is turned on, participants can join the meeting before the host joins. It is also possible to have participants make an ice break with each other first using this function.

If this setting is turned off, participants will not be able to join the meeting until the host joins the meeting.

Password required if private meeting attendees can attend in front of the host

If this setting is turned on, a password will be required for participants to join the meeting before you can join the meeting.

This is for the purpose of preventing unauthorized access due to URL leakage.

Create and request a password for participants over the phone

A password will be issued to participants who attend the meeting over the phone. It can be said that the purpose of this is also a measure to prevent unauthorized access.

Mute participants automatically

This is in English for some reason … (something else like this).

This is a feature that allows everyone to be muted by default when a meeting begins. It’s useful because it’s often a hassle to set up after entering a meeting.

Note that this feature may not be available if the Zoom version is still old. Please check the version of Zoom you are using.

Just by customizing these contents, you can get closer to the usage you want. Why don’t you try the functions that you think you can use?

How to use (basic) at a meeting

Here you can customize features for the actual meeting. If you don’t set it here, there are some functions that you can’t use, so you can’t miss it.

End-to-end encryption

When this is turned on, the contents of the Zoom meeting will be encrypted through AES. Please think that security will be strengthened.

You will be able to use the chat function during the meeting.

Private chat

Normally, the one-to-one chat function can only be performed by the organizer and participants, but by turning on this function, participants can chat with each other.

Chat auto save

Chat content can usually be saved manually. However, there may be some troubles such as forgetting and not being able to save.

If this function is turned on, the chat will be saved automatically at the end of the meeting. In addition, since the chat is created with text data, it is easy to use.

Audio is played when a participant joins or leaves

When this setting is turned on, sound effects will be played when participants newly join and leave the meeting.

If this sound can only be heard by the organizer, it can be changed so that it can be heard by the participants.

Different sounds will be heard when joining and leaving. When you join, you will hear a sound like “ping-pong!”, And when you leave, you will hear a sound like “howan” (sorry for the lack of expression. Lol)

File transmission

When this function is turned on, data can be exchanged through the chat function. It’s a function that can be used when there are many things you want to share and there is a limit to screen sharing alone.

However, the file transmission function cannot be used if end-to-end encryption is turned on, so if you want to send a file, turn off encryption.

Feedback to Zoom

By turning this setting ON, you will be able to send opinions to Zoom.

Communicating such opinions, such as communication that tends to be interrupted or functions that do not work well, will lead to improvement in Zoom quality.

Hosts can put participants on hold

The host can temporarily remove attendees from the meeting. This feature is useful for pausing a meeting when preparing something.

Always show the meeting management toolbar

Always show meeting controls during a meeting. Normally, it is displayed when the cursor approaches, and normally it is hidden, but by turning this setting ON, the toolbar is always displayed.

This is completely a matter of taste, but it’s just customization. Lol

Participants can use the annotation tool to add information to the shared screen. You can think of this feature as a set with the next whiteboard.

Participants can share a whiteboard that contains annotation tools. Both the organizer and participants can write here, so it seems to be useful for brainstorming.

Remote control

While sharing the screen, you can allow the sharer to manage what they share with others. This makes remote control possible, isn’t it?

In this way, when customizing during a Zoom meeting, functions that cannot be used by default can be used by changing the settings. Please customize it little by little to make it easier for you to use.

How to use (details) at a meeting

Here, you can customize even more detailed parts than the previous settings. The breakout session, which is a major feature of Zoom, can also be set here. Check it out!

Breakout room

Breakout sessions can be used by turning this setting ON.

For more information on how to use breakout sessions, see ” Introducing Zoom’s Breakout Session Features! A strong ally for seminars! “.

Remote support

When this setting is ON, participants can request the organizer to remotely control their computer. It seems to be a very helpful function for people who are not familiar with personal computers to get support.

Screen sharing

You can share screens and content during meetings. Please refer to this page for how to use screen sharing.

Waiting room

Each attendee will be able to attend the meeting with the approval of the organizer in the waiting room. This feature allows the organizer to manage the participants themselves.

Note, on the other hand, that enabling the waiting room automatically disables the option for attendees to join the meeting before the host arrives.

The above are the functions that can be done using (Details) at the meeting. All of these features are known as Zoom’s unique strengths, but you can customize them to prevent them from being used.

Waiting room management seems to be useful for managing participants when holding seminars for a relatively large number of people. It is useful to know how to use functions that are not turned on by default.

Here, you can make settings related to the recording / recording function, which is a function when using Zoom.

To set, select “My Meeting Settings” and then “Record” at the top left of the screen.

Then, I will introduce the contents that can be set here.

Local record

When this function is turned on, you can save the recorded recordings in your computer. I think that it is ON by default, so there is no need to change the setting,

Automatic recording

If you turn on automatic recording, recording will start automatically when you start a Zoom meeting.

I forgot to press the button myself and couldn’t record. This is a highly recommended function because you can avoid such a painful situation.

Zoom usage customization summary

This time, I introduced the contents focusing on the customizable part of how to use Zoom.

Take advantage of this feature and create your own Zoom to further enhance your work royalties.

By combining this article with ” Let’s master how to use Zoom. Basically, this is all you need! “, It can be said that you have almost mastered how to use Zoom.
