How to make and receive calls on desktop
Windows | macOS | Linux
Make a call
-
Start Zoom’s desktop client by signing in to your account.
-
Please click on the phone icon.
- Call a number using one of these methods:
- Number pad: Select the phone icon on the screen, then enter a phone number using the number pad on your keyboard or the on-screen number pad. The Zoom Phone will automatically convert the letters in a vanity number (a number which contains characters) into a number when you dial it when you make the call.
- Copy and paste: Once you have copied and pasted the phone number into the text field, you will need to click on the phone icon.
- Search contacts: To search through your internal, external, and synced contact lists, type in a name or number over the dial pad. If you want to call one of the search results, you simply need to click on it. When there are a number of phone numbers associated with the contact, click the right arrow icon to view and select the phone number you would like to call.
- Starred contacts: The starred contacts can be viewed by clicking the Starred tab above the number pad. It is possible to call a contact by hovering over it and clicking the phone icon.
-
The outbound caller ID number can be changed by selecting the Caller ID drop-down menu. The status of your in-call status is synced with any desk phones assigned to you while you are on the call.
Note: Review the features and limitations of your outbound caller ID number.
- Use the in-call controls.
Call a synced contact
In case you set up contact sync for your Google, Office 365, or Exchange account, then you will be able to dial contacts that have been added there.
Using the contacts directory
-
Start Zoom’s desktop client by signing in to your account.
-
Please click on the Contacts tab.
-
Choose a contact in the Cloud Contacts section of the My Groups section and you will be able to call it.
-
Click the Call button. You can also click on the phone icon next to the name of the person in the directory if you hover over their name.
Note:-
Make sure that you have attached a phone number to your synced contact. The person will still appear in Cloud Contacts even if they do not have a phone number, but they will not be able to be called if they do not have a phone number.
-
There is a possibility that your contact has more than one number. When this happens, you will see their number and the label that you have set in Google, Office 365, or Exchange. To call a particular phone number, click on the number you wish to call. When you click on Call, you will be able to contact the first number that appears on the screen.
-
- Use the in-call controls.
Searching for a contact
A search box can also be found above the dialpad where you can type in the name or number of synced contacts to dial them directly.
-
Open the Zoom client and sign in to your account.
-
To make a phone call, click here.
-
Above the dial pad, you will be able to type a name or a telephone number.
- Note: Click on the right arrow icon if there are several phone numbers associated with the contact, and then select the number you wish to contact.
-
To change the number that will appear on outbound calls, click on the Caller ID drop-down menu.
-
Click on the icon that looks like a phone.
-
You can use the controls that are available on the in-call screen.
Receive a call
-
Open the Zoom client and sign in to your account.
-
You will be provided with a call notification when Zoom Phone receives an incoming call to help you identify the caller.
Note: If your status is manually set to Do not disturb, you will not receive call notifications when you make a call. -
If you receive a call notification, you will need to click on one of the following options:
-
Accept: Take the call and answer it.
-
Decline: The caller will be routed to your voicemail or you can disconnect the call based on the settings you have set (look for the drop-down menu called When not answered, calls will be).
-
Close icon (×): Ignore the call notification when it appears. As long as you have a Zoom app running on your mobile device or a desk phone, the call will continue to ring.
-
Dismiss (For calls which were routed to you through a call queue): You can skip the call notification and remove yourself from the current call queue distribution by skipping the call notification. In order to reach other members of the queue, the call queue will attempt to contact them.
-
-
In the call notification, if you are currently in a call, you will see the following options if you are in a call:
-
Hold & Accept: In order to answer the incoming call, you will need to place the current call on hold. Using the call controls, you have the option to switch between the two calls or combine them into a three-way call by using the call controls.
-
Send to Voicemail: I would like to continue the current call and send the incoming call to my voicemail box.
-
End & Accept: The call is ended and the incoming call is answered.
-
-
Use the in-call controls.
