Manage Breakout Sessions in Cisco Webex Training
You can put your attendees into smaller groups with the help of breakout sessions, giving them the opportunity to communicate and exchange ideas with one another. You are free to split up the participants of a training session into smaller groups at any point during the event.
Grant Breakout Session Privileges
You have the ability to tell attendees that they can begin breakout meetings with any of the following at any point during a training session.

All attendees or all participants

Only the training session host

Only the presenter

Any other attendee, privately
You can also remove breakout session privileges at any time.
Before you begin
If there is already a breakout session going on, you won’t be able to share material in the main session.
- To assign privileges to a participant, go to the Participant option in the Session window.
- Make sure the box next to Breakout meetings with is checked off under Communications.
Then choose the credentials for the breakout sessions that you want to make available to all of the attendees.

- Select OK.
No matter what privileges other participants have for the breakout sessions, the training session host and the presenter will always have access to all of the privileges available during the breakout sessions.
Allow Attendees to Create Breakout Sessions
Even if they are tasked with organizing breakout sessions, users who attend a training session through the Webex Meetings app for iOS and Android are unable to do so on their own.
- To open the Breakout Session Panel, go to the Breakout option in the Session window and make your selection there.
- Make your selections for the Breakout Assignments.
- Mark the box that says “Allow attendees to create breakout sessions.”
- Tap the OK button.
The choices for the participants’ individual breakout sessions are presented in the Breakout menu.
- When a participant who is already a part of the main audio conference session enters a breakout session, they are automatically transferred from the main session audio conference to the audio conference for the breakout session. A participant cannot attend an audio conference for the main session while they are simultaneously connected to an audio conference for a breakout session.
- If audio conferencing is not accessible for the main session or has not been started for the main session before the breakout session begins, then audio conferencing will not be available for the breakout sessions.
Create a Breakout Session
During a breakout session, the participant who initiates and leads the breakout session is given the responsibility of presenting the breakout session to the other attendees.
Even if they are tasked with organizing breakout sessions, users who attend a training session through the Webex Meetings app for iOS and Android are unable to do so on their own.
In Webex Training, you have the ability to establish as many as 100 separate breakout sessions, each of which can accommodate as many as 100 participants.
Only the speaker, panelists, or people presenting training sessions should follow this procedure.
- Choose Breakout Assignment from the menu found in the Breakout Session window.
- Choose from one of the options below.
Option Description to mechanically generate breakout sessions and to manually allocate participants -
Select Automatically.

Either select the number of attendees who will participate in each breakout session or the total number of breakout sessions, and then click the OK button.
After you have begun a breakout session, you will select a participant at random to act as the facilitator for that session.
To manually create breakout sessions and assign attendees -
Select Manually.

To add a session, click the “Add Session” or “+” option on the toolbar.

You can enter a new name, or you can use the one that is supplied by default.

Put a star next to the name of the breakout program.

Selecting the names of any Not Assigned participants whose attendance you would like to be added to the breakout gathering and then clicking the >> button will accomplish this.

Determine which of the participants will take on the role of the facilitator.

Select OK.
The presenter has complete control over when the breakout discussion begins.

Assign Registered Attendees to Breakout Sessions.
When you were scheduling your training session, you may have allowed presession assignments to breakout sessions. In this case, you will need to directly assign attendees when you manage registrations.
Because their audio will not transfer from the main session, it is not possible to assign attendees who have only attended the event via phone to any breakout sessions.
- Please ensure that you are logged in to the Cisco Webex Training platform.
- To see a selection of available links, go to the Attend a Session > Live Sessions menu item on the navigation bar.
- Choose a subject for your presentation.
- Choose to Manage Registrations, then click the button labeled “Pre-assign attendees to breakout sessions.”
- If necessary, you can change the name of the session.
- Select one or more names from the Not Assigned section by highlighting them, and then select the add icon to incorporate them into the session.
- The role of presenter is given to the first new attendee who is introduced. To make a modification to this designation, select a designated participant, then click the icon labeled “assign presenter.”
- To delete an attendee from the event, select the attendee you want to remove from the list, then click the delete icon.
- If you want to add more breakout meetings, select the Add Breakout Session option on the menu.
- Make sure you click OK..
Manually Create a Breakout Session for Another Participant
- In the window labeled “Breakout Session,” choose the names of the participants to whom you would like to extend an invitation to attend the breakout session.
- Select the Breakout Assignment option on the screen for the Breakout Session.
- Add a session by selecting the Add Session or + option in the bottom-right corner of the screen.
- Either provide a new name or make use of the one that has been supplied by default.
- Make sure the name of the breakout program is highlighted.
- Click the >> button after you have the name of the participant that you are establishing the breakout session for highlighted in the text box.
- Invite any additional participants who are Not Assigned to join the discussion.
- Make sure that the presenter is the participant that you have chosen to represent you in this role.
- Choose the OK button.
The presenter has the ability to initiate the breakout session at any moment, and it will appear in the panel labeled “Breakout Session.”
Ask All Participants to Return from a Breakout Session
In the Session window, choose Breakout > Ask All to Return from the menu options.
Every participant who is currently participating in a breakout session receives a notification requesting that they return to the primary training session. They have the option of leaving the conference or continuing with it.
Send a Broadcast Message to All Breakout Sessions
- Within the Session window, navigate to the Breakout option and then select Broadcast Message.
- Choose the recipient of the message from the selection that appears when you click the drop-down arrow next to To.
- In the space designated for Messages, type your greeting.
- Make sure you click OK.
During the breakout sessions that certain participants are attending, your communication is displayed on their desktops.
End All Breakout Sessions
Choose End All from the menu found in the Breakout Session window.
Every participant receives a notification that the breakout session they are attending will conclude in thirty seconds.
Request a Breakout Session Presenter to Share Content
If you are the presenter of the training session, you have the ability to request that the presenter of a breakout session share their material during the main training session. You have to bring an end to all of the breakout sessions before the presenters of the breakout sessions can share their material in the main session.
- Choose Breakout > Share Breakout Session Content from the selection that appears in the Session window.
- Choose the name of the presenter on the list from whom you would like to request permission to share the material of the breakout session.
- Make sure you click OK.
The instructions for sharing the information learned in the breakaway session in the main training session are given to the final presenter.
Remove a Participant from a Breakout Session
If a participant leaves a breakout session, they will still be considered present for the main training exercise even if they do so.
- Choose the name of the participant from the Breakout Session panel’s participant list who you do not want to be a part of the breakout session, and then click the Remove button.
- Go to the Participant selection and then select the “Expel from Breakout Session” option.
