Manage your domains – Webex
You have the ability to view specific information on each participant’s audio, video, and sharing quality by drilling down into meetings or calls on an individual basis. Data for Webex Meetings and Calls on Webex are updated every minute, allowing you to diagnose issues as soon as they occur thanks to this feature. At the conclusion of each call, the data for Webex Calling is refreshed and updated.
Verify domains
You will need to verify your domains in order to show Webex that you are the owner of those names. The ability to verify domains gives you the ability to claim users into your organization even if they first signed up with another organization. Before you can claim your domains, you will first need to get them verified.
In order to validate domains, we will offer a token for you to insert into the DNS TXT record of the server for your domain. We look for this token on the DNS server to ensure that you are the legitimate owner of the domain.
Claim domains
You can associate a domain with your company by “claiming” it, which will cause that domain to be formed immediately. People that register for an account on Webex automatically get associated with this domain. In the event that this is not the case, people that register themselves will be included to a generic organization together with all of the other “free” users. You will not be able to control their services until the users have been accepted into your organization. Keep in mind that claiming a user into your organization does not necessitate claiming the corresponding domain first.
Users who are already members of the free consumer organization will not be changed to members of your organization immediately. You have an obligation to convert these users. Prior to acquiring the domain, it is strongly suggested that you work to convert consumer users into members of your organization.
Domain names are never held simultaneously by more than one organization. The domain claim is being made with the intention of preventing other groups from making use of the domain.
If you own the domain and are in charge of managing both organizations, you are the only one who can release a domain so that you can claim it in another company.
Before you begin
- You are need to be the owner of any domains you wish to verify and claim.
- You are required to verify domains that are present in the on-premises directory URIs for end user accounts on Unified CM in order to enable Hybrid Calling for users and devices that have been registered with Webex.
- In order to prevent the administrator from locking you out, you are need to verify in a specific order. For instance, you should begin by adding the administrator domain, then add all of the other domains in the order that they were listed.
1. Navigate to https://admin.webex.com and sign in.
2 In the navigation pane on the left, look for the Management section and then click Organization Settings.
3 Click either Add manually or Add with Azure AD after scrolling down to the Domains section.
In order to add domains using Azure AD, you need to have customer full administrator privileges.
4 After entering your domain name, click the Add button.
5 To retrieve the verification token for your domain, click the ellipsis next to it and then select Retrieve.
6 Paste the verification token into the text record of your DNS zone file.
If your DNS host only accepts a single TXT record, the token should be added on a separate line.
If the DNS host that you are using can accommodate multiple records, add your token as a single line in its own TXT record.
7 Pick one of these:
- Include the DNS TXT record in your server’s DNS configuration.
- If another administrator is responsible for configuring your DNS server, you should submit the DNS TXT record to that administrator so it may be added to your DNS server.
8 Next to each domain, click the Verify button.
- In the event that the verification is unsuccessful, the error will be saved by your DNS server. After the amount of time that is defined in the Time To Live (TTL) parameter, the cache on your DNS server will be cleared. You are need to wait until the DNS server has flushed the cache before attempting to do so again. You have the option of adding the verification token once again and then requesting that the domain be verified.
- In the event that the verification token is located and matched, the status of the domain in Control Hub will change to verified. To check if your domains have been verified, go to the Control Hub, select the Settings button, scroll down until you reach Domains, and then make sure that the following status displays next to each domain entry:
- When the domain’s verification is complete, the TXT record will no longer be necessary, and you will be able to delete the verification token from your DNS server.
- Even when you have confirmed a domain, there is still a possibility that other organizations have users who have this domain. Previous user accounts created as consumers will not be automatically upgraded to organization users. You will be able to convert those users into licensed users within your organization if your domains have been verified and people have signed up for Webex App accounts.
As an additional layer of protection, the processes in Control Hub provide you the ability to validate domains first, and then claim domains afterward.
- When you make a domain claim, it indicates that you are reserving a certain email domain for exclusive usage within your Webex organization.
- After taking this step, it will be impossible to create users with the claimed domain in any other organization, including the free consumer organization.
- Nobody else’s Webex organization will be able to add people if you claim a domain for it.
- Users are still able to self-register, and Webex will generate accounts for them within your organization even if you claim a domain.
- If you desire complete control over the process of user creation and synchronization within your business, you can block users from self-registering.
Before you begin
Errors in claiming domains can lead to registration errors, and registration errors can occur as a result of such problems. Make sure you have a firm grasp of the following information before attempting to claim any domains:
- It is not appropriate for service providers to lay claim to the customer organizations’ domains that they manage. They should only claim the domains of those users who are part of the internal structure of the Service Provider. Claiming the domain of users in a separate organization (even one that the Service Provider maintains) might lead to registration issues for users in the customer organization. This is because user authentication requests will be directed through the Service Provider rather than the customer organization when the domain is claimed.
- If two different client businesses (Company A and Company B) share the same domain, and if Company A has claimed ownership of the domain, then user registration for Company B may fail because user authentication requests are routed through the organization (Company A) that has claimed ownership of the domain.
You are required to check that all of your domains are validated before attempting to claim a domain. Otherwise, there is a possibility that your request will be denied due to security concerns. For instance, you are not permitted to stake a claim on a domain that is owned by another company.
1. Navigate to https://admin.webex.com and sign in.
2 In the navigation pane on the left, look for the Management section and then click Organization Settings.
3 Navigate to the Domains tab. After clicking on the ellipsis, select the Claim validated domain option.
4 Make your choice of claim.
You’ll be able to tell when a domain has been claimed since the status will change to one of the following next to the domain entries:
?Claimed
If an administrator from outside the company tries to add users to a claimed domain after the domain has been claimed, they will receive a notification indicating that the domain has been claimed. Users who were already part of another organization prior to the domain being claimed would not be affected by this change.
There is no cap on the number of domains that can be claimed by your business, and you are free to do so. However, if your Webex organization contains more than 20 claimed domains, there is a possibility that you will experience difficulties converting consumers.
For instance, if your organization sold a domain or if you performed a trial using a test domain and the trial came to an end, you may need to remove a verified domain or release a claimed domain from your organization. You may do this by going to your organization’s domain management page and following the instructions there. You are free to delete a domain whenever you like.
Before you begin
If your company makes use of the Webex Hybrid Call Service, you run the risk of causing disruptions to the service if you get rid of a validated domain that is included in the on-premises directory URIs of your customers.
1. Navigate to https://admin.webex.com and sign in.
2 In the navigation pane on the left, look for the Management section and then click Organization Settings.
3 You can delete a domain by scrolling down to Domains, clicking the ellipsis beside it, and selecting one of the following options:
Click the Release domain button next to a claimed domain, read the prompt, and then click the Release button. Following this stage, the domain will continue to be counted as a validated entry.
To remove a validated domain from your account, read the pop-up window, then click the Remove domain button. Following this step, the domain will be totally removed from the list in Control Hub.
Once you have released a claimed domain, it will be feasible for new members to join an organization of their choosing if they have that domain. Users who are already a part of your organization will not be affected in any way by this behavior.
When a domain is deleted, its status in your organization changes to reflect that it is no longer confirmed or claimed.
