Managing phone numbers in zoom App
A phone number can be assigned to a phone user if you are an account owner or administrator. Users are automatically assigned extension numbers when they purchase a Zoom Phone license. In addition to assigning a user’s extension number, follow this guide for assigning a direct telephone number.
Note:
- You may need to request phone numbers if there are no available numbers or you have a specific request.
- An email notification is automatically sent to users when a direct phone number is assigned to them. This notification can be enabled or disabled at the account level.
- The main company number can also be changed.
Prerequisites for managing Zoom Phone numbers
- Business, education, or pro accounts
- Are privileged to be account owners or administrators
- On the Zoom Phone service
How to port phone numbers
Zoom Phone allows you to port over existing phone numbers from other services. For more information, please refer to the article about porting numbers.
Viewing port phone numbers
- The Zoom web portal can be accessed by logging in.
- Select Phone System Management from the navigation bar and then select Phone Numbers from the list of options.
- Select the Ported tab from the drop-down list.
Note: - Numbers in the US and Canada can only be ported.
Viewing reserved phone numbers
You can view your retained phone numbers and an overview of the charges attached to holding reserved phone numbers if you port your phone numbers using the reserved numbers feature.
- Log in to the Zoom web portal using your email address and password.
- Select Phone Numbers from the navigation menu.
- Select Reserved.
An overview of the reserved numbers for the specified month and year will be presented as well as the charges incurred.
How to obtain phone numbers
Prior to assigning phone numbers to users, you must obtain them.
- Access Zoom’s web portal by logging in.
- Select Phone Numbers from the navigation menu.
- Enter your number.
- Specify the information needed:
- Target Site (only visible if you have multiple sites):
- You will need to select the site for which you wish to collect phone numbers.
- Emergency Addresses (only visible if you don’t have multiple sites):
- Click the Add option to add a new address to the number, or select an existing address to apply to the phone numbers. Phone numbers will be associated with the emergency address associated with the site.
- Country/Region:
- You may search for phone numbers by selecting a country or region.
- You can choose either a toll-free or a toll-free phone number.
Note: - To obtain a toll-free number, you need to have the toll-free license.
- In the case that you have ported out your reserved numbers and are only interested in searching for your reserved numbers, please select Reserved Numbers Only.
- State/Province/Territory:
- To view the associated area codes, select from the drop-down menu the state, province, or territory.
- Area Code – City:
- You can search area codes or cities within a state, province, or territory by entering an area code or city. By using the drop-down menu, you can choose an area code or city.
- (Optional) Click Advanced to use the following advanced search features:
- Selected numbers will be sorted sequentially.
- You can search for available numbers by prefix using the text box next to the area code. Prefixes follow area codes. Vanity phones can also be generated by entering letters that are used to spell out a brand, word, or phrase. It will be searching for numbers with the prefix 954, for example, if you search for the letters YKI.
- Select Search Numbers.
Note: - For areas without numbers, create a request by clicking Create Ticket. Vanity toll-free numbers can also be requested.
- If you want to obtain all the numbers in the search results, click the Select All check box.
- Then click Confirm.
How to assign a phone number
You can assign a number to a user, call queue, auto receptionist, common area phone, or Zoom Room after acquiring it, so that callers can directly dial the number to reach that user, call queue, or auto receptionist.
Note:
Assigning phone numbers in bulk is also possible.
- Access Zoom’s web portal by signing in.
- Select Phone Numbers from the navigation menu.
- Click Unassigned from the list of tabs.
- After selecting the number to assign, click Assign To.
- Choose an extension:
- Admin
Note: - Email notifications may be sent to the phone user, including their phone number and a link for updating their emergency address. Email notifications can be enabled or disabled.
- Local phone number:
- Shared Line Number
- Waiting list
- Automatic Receptionist
- Room Zoom
- Emergency Numbers
- Company Address
- Admin
- You can search extensions by typing in the text box.
- Click OK to continue.
How to unbind or delete a phone number
It is possible to remove a phone number from the list after it has been assigned if you do not want it to be assigned to anyone. In order to move the phone number from one extension to another, you can re-assign it.
Note:
You can receive a new phone number if you delete a phone number from your account.
- Log in to the Zoom website.
- Select Phone Numbers from the Navigation menu.
- Choose Assigned from the menu.
- You can remove phone numbers from phone users, call queues, auto receptionists, common area phones, or Zoom Rooms by clicking on the appropriate number.
- By clicking on Unbind, you can remove the selected phone number from the call queue, auto receptionist, phone user, or auto attendant to whom it has been assigned.
- After clicking Unbind, the action will be confirmed.
When the number appears under Unassigned, the action will be completed. - The following instructions can be applied to the deletion of a number. If you want to delete the number, you must go to the Unassigned tab and click Delete next to the unassigned number.
How to re-assign a phone number
Reassigning a phone number to another extension is possible after it has been assigned.
Note:
Assigning phone numbers in bulk is also possible.
- Access Zoom’s web portal.
- Select Phone Numbers then Phone System Management from the navigation menu.
- Select Assigned.
- You can reassign a number by clicking on it.
- On the Assignment window, click Edit.
- Then select an extension:
- Client
Note: - An email notification may be sent with the phone number of the phone user and directions to update their emergency address. Email notifications can be enabled or disabled.
- Community Phone:
- Private Line
- Queue for Calls
- Is an automatic answering service
- Similar to Zoom Rooms
- Client
- You can search extensions by using the text box on the right hand side.
- Click the OK button.
