Managing phones and devices in zoom App

A Zoom desktop client or mobile app can be used to make and receive phone calls. You, as the owner or administrator of the account, will be able to provision and assign devices to users who need one. Each user can have up to three devices assigned to him or her. The addition of a shared phone that can be used by several users of your organization is another option that you can make.
Prerequisites
- An account for business, education, or pro
- Owners or administrators
- With a Zoom Phone subscription
- With a certified device
How to add a device
This article will walk you through adding a certified device, assigning it to a user, and provisioning it. The CSV file can also be used to import a large number of devices at once.
- Zoom’s web portal requires a Zoom account.
- Select Phone System Management then Phones & Devices from the navigation menu.
- Select Add.
- Identify the device as follows:
- MAC Address:
- MAC address (12 digits) of the device.
Note: - Enter the wired MAC address, not the wireless MAC address, if you’re using a wireless DECT phone.
- Device Type:
- You can choose between different brands and models.
- Assigned To:
- Select a user’s username or email address. There will be no phone if there are more than one site.
Note: - You can assign more than one user if the device supports multiple phone users.
- Display Name:
- Name your phone by entering a display name.
- Provision Template (Optional):
- Appearance depends on the device you select. Custom settings can be applied to the phone by selecting a provision template.
- Select Save.
- Finally, complete the process of provisioning the phone.
How to add a paging or intercom device
If you are looking to add a paging/intercom device to your account, assign it to a user, and provision it, follow these steps.
- Zoom’s web portal requires you to sign in.
- Navigate to System Management > Phones & Devices in the navigation menu.
- Then click Add.
- Please enter the information below:
- Assigned To:
- The user’s username or email address should be entered here. Devices belong to the same site as their users if you have multiple sites.
- Display Name:
- You can identify a device by its display name.
- MAC Address:
- Identify a device by its 12-digit MAC address.
- Device Type:
- Paging/Intercom or Algo/Cyberdata.
- Then click Save.
- Follow the guides provided by Algo or Cyberdata to complete the provisioning process.
How to assign multiple extensions to an analog telephone adapter (ATA)
You can assign ATAs to multiple users or to common area phones after you add a certified ATA and provision it.
- Add a device by following the instructions.
- To view the Phone System Management menu, click Phones & Devices from the navigation menu.
- You will need to select the display name of the ATA you are editing from the list.
- You will then be able to see your associated extensions.
- To add them, click on the Add button, followed by Common Area Phones and Phone Users.
- You can select or specify the telephone number of the common area, then click Save.
How to assign a phone or device
In order to assign an unassigned device to a user, you need to follow these steps.
- Zoom’s web portal can be accessed by logging in.
- Click Phone System Management from the navigation menu, and then click Phones & Devices from the navigation menu.
- Click Unassigned from the navigation menu.
- Browse through the list until you find any devices you need to assign.
Note: - The device’s display name will revert to the default name Desk Phone if the device was previously assigned to an existing phone user, and then you unbind it.
- Go to the last column and click Assign to.
- The device will now be assigned to the chosen phone user.
- After clicking the OK button, the device will be assigned.
