Managing rooms added to Zoom Phone
Zoom Phone can be integrated into Zoom Rooms, enabling you to set up and receive calls from Zoom Rooms. The Zoom Phone settings can be changed after you add a Zoom Room. As well as SIP/H.323 devices, Zoom Phone can also be used with Cisco/Polycom rooms.
Prerequisites for managing rooms added to Zoom Phone
- Account type: Business, Education, or Pro
- Permissions for account owners or admins
- Phone license for Zoom
- The Zoom web portal allows users to set up Zoom rooms and SIP/H.323 rooms

How to assign a Zoom Phone license to a Zoom Room or SIP/H.323 room
- Sign into the Zoom web portal by entering your email address and password.
- Click on the Phone System Management option in the navigation menu. From there, click on Users & Rooms.
- You will then see a list of Zoom Rooms or Cisco/Polycom Rooms.
- Select the one you wish to add.
- Choose the site you would like the rooms to belong to if you have created more than one site.
- Please make sure that you click on the Choose button beside Zoom Rooms or Cisco/Polycom Rooms.
- Click the checkbox beside the name of the room you wish to assign a license to and then search for the room you wish to assign it to.
- Once the room has been selected, click Save to assign the license to it.
A unique extension number will then be assigned to each room. - It is possible to assign a calling package and a direct number to a Zoom Room by following the steps below.
- Modify the phone settings for the room if needed.
How to assign a calling package and direct phone number
Adding an outbound calling package to Zoom Phone from a Zoom Room or Cisco/Polycom Room is as easy as the steps below. During this process, a direct phone number can also be assigned (optional).
- Log into Zoom’s web portal.
- Then click on Users & Rooms under Phone System Management in the navigation menu.
- Now click on the Zoom Rooms or Cisco/Polycom Rooms button in the dialog box.
- From the list of rooms, select the one for which you added a Zoom Phone license.
- On the Assign tab, click Assign Packages, then click Assign Rooms.
- You can select from a wide selection of calling packages and then confirm the number assignment by clicking on Assign.
- Alternatively, if you wish to assign a direct phone number to the room, just select the number and click Confirm on the confirmation dialog box. You may skip this step if you wish.
At this point you will be able to make and receive calls in the room. As part of Zoom Rooms, you can also invite participants by phone, and you can also join other Zoom Rooms within your account by calling them. How to remove licenses, calling packages, or phone numbers
Zoom Phone access can be revoked by removing licenses assigned to Zoom Rooms. You will be able to reassign a license after removing a license. If you do not want the Zoom Rooms to make outbound calls, you can remove the calling packages.
- Zoom’s web portal requires you to sign in.
- Click Phone System Management in the navigation menu, then select Users & Rooms.
- The Zoom Room tab or Cisco/Polycom Room tab will open.
- Remove the license or calling package from any room you want. Click the checkbox beside each room.
- Choose one of the following options:
- Remove Zoom Rooms / Remove Cisco/Polycom Rooms:
- The licenses for Zoom Phones should be removed from the selected rooms. Please confirm the deletion by clicking the Delete button.
- Remove All Packages:
- Select the rooms for which you wish to remove the calling package. To remove the package, click on Remove.
Note: - In addition to removing a calling package, any assigned direct phone numbers will also be removed.
- The license for each room can be deleted by clicking on the more icon (…) in the last column and then clicking Remove or Remove Calling Plan.
How to batch assign licenses and calling packages to existing Zoom Rooms
If you need to assign more than 100 licenses to an existing Zoom Room, you should follow these steps.
Note:
Zoom Rooms must be set up. For more information, see Getting Started with Zoom Rooms.
- Go to the Zoom web portal and sign in.
- Then click Users & Rooms in the navigation menu.
- Select Zoom Rooms.
- Then click Import.
- Choose the target site you want the Zoom Rooms to be part of if you created multiple sites.
- To view the required fields in a CSV file, click CSV Sample.
- Use the sample to fill out the required fields.
Note: - Make sure not to delete the first row that lists the fields.
- Start the batch process by clicking Upload CSV and selecting your completed CSV file.
Note: - The batch process will not complete if one or more fields are incorrect. Here are your options:
- To see what fields were incorrectly filled in, click Details.
- You can continue the batch process by clicking Ignore Issues and Upload Others. The importation process will not proceed for any rows that contain errors. If all rows contain errors, this option will not be available.
- The batch process will not complete if there are errors in all rows of the CSV. Once you have fixed the CSV, click Reupload.
- You can cancel batch import by clicking Close.
- If the batch import has been successful, click Close.
How to batch update existing Zoom Rooms
If you need to update Zoom Rooms’ calling package, site code, extension, or direct number, you can batch update existing Zoom Rooms.
- Zoom’s web portal requires you to sign in.
- To manage users and rooms, click Phone System Management in the navigation menu.
- Select Zoom Rooms.
- You can export the Zoom Rooms that have already been added to Zoom Phone as a CSV file by clicking Export at the top of the user table.
- Review and modify the settings as needed using the exported CSV file. Then select the option to copy settings from another user while the batch update process is running. Alternatively, you can delete any entries that do not need updating.
- Select Import.
- Then select Update Zoom Rooms from the drop-down menu.
- The Zoom Rooms will belong to the site you selected if you created multiple sites.
- Select your completed CSV file and click Upload CSV to start the batch process.
Note: - You can download a sample CSV file and view the required fields by clicking CSV Sample.
- To finish batch processing, click Close.
