Managing Zoom Events recordings for hosts
Zoom Events offers you the option of including complimentary access to a cloud recording of your event with your ticket registration. This will enable registrants to watch the event they registered for, even if they were unable to attend the event. The registration for a ticket can be enhanced with the inclusion of this additional benefit.
By providing complimentary access to event recordings with the purchase of tickets, we are able to:

Once the event has started, the recording of the event will automatically begin as soon as the event has begun. In this way, the event will be recorded, even if you and the alternative host forget to start the recording at the beginning of the event.
Note: If you are attending an event that doesn’t include complimentary access to the recording of the event with your ticket registration, you will have to start the recording of the event manually after registering. -
Providing free access to all registrants – both those who missed the event and those who attended the event – to both multiple sessions as well as single sessions, in order that they can view the recordings.

During the period of time that the event lobby remains open, you will be able to view the event recordings.

The recording will be available for Zoom Events attendees once they have registered for the event. They can access the recording from their Tickets and Event Details pages after registering for the event.
There will be an automatic upload of the recording upon completion of the event, so that you will not need to manually upload the recording once the event has been completed. It is always the longest recording file which is selected as the recording for the recording session when there are multiple files that originate from the same recorded session.

Recording options
The attendees of the event will only be able to view the recording of the event if the registration fee for the ticket they purchased included a complimentary viewing access option during the creation of the event.
How to manage recordings as a host
Access recordings as a host
If you would like to see a list of all your recordings, please follow these instructions:

Zoom Events can be accessed by signing in.

Go to the top right corner of your screen and click Manage.

The My Recordings menu can be found on the left side of the screen.
The list of recordings will be organized by these top headings:

Recording: The name of the recording that was made.

Linked Event: This is the event/event session that the recording is from.
-
# of Views: This is a measure of how many times a recording was viewed.
Published recordings will have a gray Published label under their recording name, showing that their recording has been published.
Search recordings as a host

My recordings can be accessed through My Recordings.

It is possible to search for recordings by their name as well as events by their names in the search box.
NOTE: You may also perform a fuzzy search, which means that a term entered will be matched close to the exact word entered, rather than exactly. If you know only part of a name, you can search by that. In addition, you can view all results that include a few letters from the name of a recording or event if you enter a few letters of the name.
Filter recordings as a host
You can filter the list of recordings based on their status by following these steps:

My recordings can be accessed through My Recordings.

To filter by recording status, click on the Status (All) drop-down menu to the right of the search box to the right of the search box.
There are three types of filters to choose from: Status (All), Active, and Removed.
How to publish session recordings to event lobby
Depending on the preferences of the hosts, session recordings can be published and displayed to the event lobby at any time. There are several benefits to this technique, including the ability for hosts to release the session recordings only when they are ready, rather than releasing them automatically, so that attendees can view them in the event lobby as soon as they are ready.
Publish session recordings to event lobby
If you want to record an event in the cloud, you need to enable the Allow cloud recording toggle in the Advanced Options tab.

Click on the My Recordings button at the top of the screen.

Publish in Event is a toggle that you can enable under the Publish in Event column on the right of the recording that you want to publish.
Note: If the Include complimentary access to this event’s cloud recording with registration toggle is enabled, the toggle will automatically be enabled and be enabled by default.
Unpublish session recordings from event lobby
An event host has the option of unpublishing a session recording so that it is not available for viewing by event attendees in the event lobby.

Zoom Events can be accessed by signing in.

Click on My Recordings in the top-left corner of the screen.

Click on the toggle under the Publish in Event column on the right side of the recording that you wish to unpublish. The recording will now be disabled.
How to publish session recordings to a hub
The hosts have the option of publishing and displaying session recordings to the hub at a time that they choose. In this way, the hosts are able to release session recordings only when they are ready to make them available (as opposed to having them published automatically) for viewing by attendees in the hub, rather than automatically releasing them when they are ready to do so.

It is necessary that the Allow cloud recording toggle in the Advanced Options tab is enabled in order to record an event on the cloud.

Click on the drop-down menu under Hub in the navigation panel on the left, and then select the hub in which you would like to publish a session recording by selecting the hub from the list.

Publish in Event is a toggle that you can enable under the Publish in Event column on the right of the recording that you want to publish.
Note: If the Include complimentary access to this event’s cloud recording with registration toggle is selected, the toggle will automatically enable the switch.
Unpublish session recordings from a hub
When a host unpublishes a session recording, users will not be able to view it as it will no longer be visible in the hub.

Zoom Events can be accessed by signing in.

Using the navigation panel at the left, click the dropdown menu under Hub, and then select the hub that you wish to unpublish a recording for in the dropdown menu.

Click on the toggle under the Publish in Event column on the right side of the recording that you wish to unpublish. The recording will now be disabled.
How to watch a recording as a host

My recordings can be accessed through My Recordings.

In order to watch the recording, you need to find the event of the recording.

When you are viewing an event, click on the ellipses icon to the right of the event, and then click on “Watch Recordings”.
A recording will show you the following when you watch it:

The recording title
-
Hub name
-
Any additional sessions
-
Title of the session of the recording
-
Description of the session of the recording
Use audio transcriptions
Organizers of events can download a transcription of the audio, if enabled by the host during the recording of the event, through the hub recording management section of the hub. These transcripts can also be accessed by hosts by going to the section My Recordings in the section of their account.

It is currently only possible to access transcriptions of audio recordings if the recordings are watched on the hub’s profile page, once they have been listed.

English is the only language supported by audio transcriptions.

The closed captioning feature is only available for recordings made by the host or hub.
-
There is an avatar to the left of each speaker’s name in the audio transcript only for transcriptions of host recordings and hub recordings.
Search through audio transcription
There is a search function in the transcript that allows you to find a particular word:

In the Search… box, you can enter a word or words that you want to search for.
The transcript will be highlighted with all matching terms in the transcript. -
In order to find the correct word in your search, follow these steps (optional):

In order to jump to the first matching term, you can press Enter or Return (depending on the keyboard you are using). As soon as the first matching term is located in the recording, the recording will skip to that point and start playing again from there

To determine where the matching terms can be found in the transcript, scroll through the transcript until you find them.

Alternatively, you can click the Resume Transcript Auto-Scroll button at the bottom of the transcription box in order to sync the transcript with the video playback as it progresses.

How to download a session recording
There are many features that Zoom provides to its users, including the ability to download recordings of those sessions, which can then be stored locally, or to be edited by the hosts themselves. There are cases where eligible hosts will be able to upload their edited recordings to Zoom’s web portal and publish them in Zoom Events by uploading them to the Zoom portal.

Zoom Events can be accessed by signing in.

You can access your recordings in the navigation panel to the right by clicking on My Recordings.

You can edit a recording by clicking the ellipsis icon to the right of the recording you wish to edit.

You can edit the recording by clicking the Edit Recording icon.
The pop-up window will appear as soon as you click on the link. -
The Zoom Web Portal can be accessed by clicking Go to Zoom Web Portal.
If you wish to trim or edit the recording, you will be taken to the web portal where you can do so.

Your recordings can be accessed at any time.

Select the recording you would like to edit from the Topic column by clicking on the name of the recording.

It may be necessary to trim or edit the recording.
How to replace a session recording
The eligible host can edit the raw recording file of a session before publishing it to an event’s lobby or publish it to a hub to replace the raw recording file of the session with an edited version of the recording file. Only recordings that the host owns can be edited by the host.
Replace a session recording from Zoom Events

Zoom Events can be accessed by signing in.

Click on My Recordings from the menu on the right side of the screen.

When you click the ellipsis to the right of the recording you wish to replace, you will be given the option to edit or delete it.
The pop-up window will appear as soon as the link is clicked. -
The Zoom Web Portal can be accessed by clicking Go to Zoom Web Portal.
In order to replace the recording, you will be directed to the web portal.
Replace a session recording from the Zoom web portal

You can access the recordings you have stored in the cloud.

If you wish to edit a recording, click the name of the recording in the Topic column.

The icon for Replacing This Recording can be found in the top-right corner of the screen.
You will be presented with a pop-up window that says Replace This Recording. -
If you would like to replace the recording with a video file, you can do so by adding the following:

Drag and drop

If you want to upload a video file, you need to find it first.

You can drag and drop it into the pop-up window that appears when you click on Replace This Recording.

Choose a file

Click Choose a File.
-
Click on the Open button after you have located the video file you want to upload.

It may take a few minutes for the video file to upload to your computer.
How to delete a recording as a host
Deleted recordings can be deleted by the host via the Zoom web portal, which can be accessed from the host’s account. The recording can be managed and deleted once the user has accessed their recording.

You can access your recordings by clicking the My Recordings link in the navigation menu.

If you wish to delete a recording, click the ellipsis icon to the right of the recording you wish to delete, and then click the Edit/Delete Recording icon to the left.
The window will appear in a pop-up format. -
Once you have clicked Go to Zoom Web Portal, you will be taken to the Zoom Web Portal.
The web portal will direct you to the page where you can delete the recording. -
Delete the recording from the Zoom web portal by clicking on the delete button.
How to apply recordings to a hub’s public profile page

Zoom Events can be accessed by signing in.

Go to the top right corner of your screen and click Manage.

You can select the hub you wish to view from the drop-down menu in the left-hand navigation menu, then click Recordings to access the recordings for that hub.

Click the toggle under the List on Hub column in order to list a recording in the hub.
