Pairing/Controlling Zoom Rooms from mobile app
Zoom Room controllers may not always be in the most convenient location or people may avoid using shared touch surfaces as they return to offices, so the Zoom mobile app provides some Zoom Room controls on your mobile device. The Zoom Room assist application provides you with the ability to pair with the Zoom Room you are in, start and join a meeting, and control the Zoom Room right from your phone or tablet. All of this is without having to interact with the Zoom Room control tablet beyond maybe a short tap to wake the Zoom Room.
The Zoom desktop client can also be used to start or join meetings in a nearby Zoom Room, by pairing it with the Zoom desktop client.
Note:
Before passing a meeting to a paired Zoom Room, the Zoom mobile app must be paired with the Zoom Room first. Once the meeting starts or is joined, pairing is not possible.
Prerequisites for Pairing and controlling a Zoom Room from the Zoom mobile app
- Zoom mobile app
- Android version 5.5.0 (1282) or higher
- iOS version 5.5.0 (12452.0131) or higher
- Zoom Rooms Controller app installed on your mobile device
- Android version 5.5.0 (388) or higher
- iOS version 5.5.0 (234.0128) or higher
- Zoom Rooms
- Windows version 5.5.0 (2400.0131) or higher
- macOS version 5.5.0 (3353.0130) or higher
- Both devices must be signed-in as members of the same account.
Pairing with the Zoom Room
- Sign in to your account on the Zoom mobile app.
- The Zoom Room pairing icon is located to the left of the Meet & Chat tab. Tap it and it will turn into a pairing option.
- Zoom Room will display the Sharing Key, enter it and tap Pair.
Your Zoom Room name will appear over the search bar on the mobile app when it has been paired with your account. - You will be asked to choose whether you wish to Join from Room or Join from My Phone when you start or join a scheduled meeting.
- If you select Join from Room, the Zoom Room paired with your device will join the meeting.
The meeting will also be accessible on your mobile device as well, but the audio and video will not be enabled. - Those controls will be included in the mobile app as follows:
- Leave:
- To leave the meeting, tap the Leave option:
- Leave from Room:
- Detach your mobile device and Zoom Room from the meeting. You will also need to unpair your mobile app from the Zoom Room.
- Leave from My Phone:
- You need to unpair your mobile device from the Zoom Room as well as disconnect it from the meeting. Your Zoom Room will remain connected to the meeting while you disconnect your mobile device.
- Room Controller:
- In this case, you will be able to open the Zoom Rooms controller app by selecting this option, or you will be able to download the app from the relevant app store if it has not already been downloaded. Please see the following section for more information about the control options available.
- Share:
- Using the mobile application, you can share content with other users.
- Participants:
- You can view the list of participants and manage them from the mobile application.
- More:
- In the More section, you will find additional settings.
- Record:
- Press the Record button to start recording to the cloud.
- Disconnect Audio:
- By pressing this button, you will be disconnected from the meeting audio.
- Security:
- Access meeting security options while in the meeting.
- Chat:
- Participants can chat with each other in the chat window.
- Enable Live Transcript:
- Depending on how the web settings are configured, the host may be able to enable live transcription.
- View Full Transcript:
- The host may have enabled Live Transcription so you can view the full transcription if it has been enabled.
- Raise Hand
- if you have any questions about meeting settings:
- During the meeting you are currently participating in you have access to some personal settings.
- Virtual Background:
- The feature of a virtual background is configured and enabled during the meeting.
- Live stream to YouTube:
- You can stream live meetings on YouTube.
Controlling the Zoom Room on your mobile device
When you are controlling the Zoom Room with your paired mobile device, you will have control buttons that are condensed and mirror what the Zoom Room’s main control buttons are. Here are the controls that you will have access to:
- Mute / Unmute :
- Turn the microphone of the room off or on.
- Start Video / Stop Video :
- The video camera in the room can be started or stopped.
- Share Content or Camera:
- Share content from your mobile device, laptop, or secondary camera by following the instructions displayed.
- Multiple Participants Can Share Simultaneously:
- You can allow multiple participants to share their screen or content at the same time during the meeting by tapping the screen.
- Advanced Sharing Options:
- Depending on who is able to share in your meeting, you may also wish to decide whether only the host (the one sharing) or any participant will have the ability to start a new share at any time.
- Who Can Share?:
- There are two options available for sharing; only the host can share or all participants can share.
- Who can start sharing when someone else is sharing:
- Decide if all participants, such as the host, or only the host can interrupt someone who is sharing content.
- Optimize Full-screen Video Sharing:
- When sharing a full-screen video clip, make sure this option is checked. In the case that you do not check this option, it may result in a blurry image on the shared screen.
- Camera Control:
- You can easily change the settings of the PTZ camera, choose from a list of presets, or switch to a different camera.
- Leave / End:
- In case the Zoom Room is the host of the meeting, you can leave the meeting or End Meeting for All.
- More:
- You can access additional Zoom Room controls by tapping this option.
- If you are the host or co-host of the meeting room, you can enable or disable certain meeting features in the security section. In some cases, you can also find these settings in the participants list.
- Lock Meeting:
- Disallow other people from joining a meeting that is already in progress.
- Enable Waiting Room:
- If you would like to make the waiting room available or not, this can be done.
- Allow Participants to:
- Make the following features available to all participants or not.
- Share Screen
- Chat
- Rename Themselves:
- Users will be able to rename themselves so that it will appear to other participants in the current meeting.
- Unmute Themselves
- Annotate on Shared Content:
- It is possible to enable other participants in the Zoom Room to share the screen by making annotations on it.
Note: - A participant may only utilize this option when they are sharing their screen directly with a participant, share.zoom.us, or using Apple’s screen mirroring function. Make sure to check the room’s web portal settings to make sure the admin has enabled annotations.
- Remove Participant:
- You can remove certain participants completely from the meeting. Unless you allow participants to rejoin, they will not be able to rejoin.
- Report:
- Here’s where you can report any incident that you feel violates our terms of service or Community Standards if you need to report it.
- Manage Participants / Participants :
- This is where you can see who is in a meeting. You will see controls at the bottom of the screen to manage the participants if you are the host.
- Change View:
- In the video room display, you can change the layout of your video.
- Options:
- To adjust other layout options, you can tap this button under Change View.
- Start Recording :
- Tap this button to begin recording to the cloud.
- Chat:
- Chat with other attendees while the meeting is in progress. As long as you are using a controller or mobile controller paired with the device, you will not be able to reply to chat messages, only view them.
- In order to access chat settings, tap the gear icon on the Settings page:
- Show notification on TV:
- Chat messages will be displayed as a notification in Zoom Rooms.
- Show full chat panel on TV:
- When enabled, the Zoom Room display will display the full chat transcript.
- In order to access chat settings, tap the gear icon on the Settings page:
- If you are the host or co-host of the meeting room, you can enable or disable certain meeting features in the security section. In some cases, you can also find these settings in the participants list.
- Settings:
- It is possible to access settings for the room (requires the room passcode), including advanced settings for the microphone, speaker, camera, etc.
- Volume slider:
- The volume of the room’s speaker can be adjusted (this will be reverted back to the default volume after the meeting is over).
You can unpair your mobile device from the Zoom Room at any time by tapping on Unpair. In order to remain connected to the Zoom Room, someone must tap Leave on the Zoom Room controller tablet when the meeting ends, or until other members of the Zoom Room terminate the meeting.
