POC for Zoom meetings guidelines

Our goal with this guide is to walk you through the most common steps you need to follow to successfully implement Zoom in your environment for your Proof of Concept.
How to establish success criteria
We recommend thinking about the success criteria for this POC in order to get the most out of it.
Document these criteria and ensure you review them throughout the POC to ensure you have achieved everything you wished to.
Network configuration and client installation
In order to ensure your first POC is successful, you need to follow these steps.
- You must meet these system and network requirements.
- For Windows and Mac computers, download and install the desktop client.
Participants in this evaluation are strongly encouraged to install the Zoom Client for the best possible experience. You can also connect to a Zoom meeting using Zoom’s web client, which has a streamlined set of features, without having to install the Zoom desktop client. To determine what may suit your needs, compare the different versions of this client based on the features they offer.
Preliminary Admin tasks
The Zoom Admin portal will be used for this section, so log in using the credentials that your Zoom Account Executive converted into a Trial for you.
- Become familiar with the standard User roles: Owner, Admin, Member.
- Add users to your account.Newly added users will be in a pending state until they accept the invitation and activate their accounts. They will receive an email invite from no-reply@zoom.us. You may need to configure your email service to allow emails from Zoom if the email invitation does not arrive in their inbox after 1-2 minutes. Ensure that all users you wish to be admins in your POC environment have been assigned the appropriate user role. You can always change the roles if they are incorrect.
- In addition to batch-importing users with a .csv file, you can also set up Just-In-Time (JIT) provisioning described in the Advanced Admin Tasks section to add more users to your setup.
The most basic setup for your POC is now complete. Your administrators are now able to schedule Zoom Meetings through the web portal. The video below may also be helpful.
Advanced Admin tasks
We have a few more suggestions for configurations that will help you take things to the next level.
Associated Domains
Configuring Associated Domains allows you to learn if Zoom is already used in your organization and, if so, bring them into the Zoom account you are setting up now. Using this method, you will be able to map your company domain (@domain.com) to this Zoom account and potentially merge all existing users into this account in a few simple steps.
Vanity URL
Our team recommends activating the Vanity URL so we can customise your meeting links with your company name, as well as access account branding features. This will provide you with a fully customisable company landing page for everything Zoom.
Note: If you wish to configure SSO later, this step is also necessary.
Single Sign-On (SSO)
You can configure Single Sign-On (SSO) if you want your users to be able to log in using the same credentials they use to log into any other company tool. Any SAML 2.0-enabled identity provider is supported, and we provide step-by-step instructions for the more widely deployed solutions.
Note: The Vanity URL must be approved for SSO.
