Quick start guide for Yealink T4/T5 series in Zoom
An introduction to Yealink phone features that Zoom Phone supports can be found in this article. Visit the Yealink support site to learn more about these features.

- Zoom Phone features are not available on desk phones.

How to make a call
Note:
- By default, Zoom Phone uses the area code that you have set in your Zoom Phone settings if you dial a number without an area code.
- The Zoom desktop client and mobile app will sync your status while you are on a call. You’ll be able to see your Zoom contacts while you’re on a call.
- Be sure Zoom Phone supports outbound dialing to international numbers if you intend to call them.
- Zoom Phone admins need to set up a digit map/dial plan with a provision template to make the desk phone automatically call a number after dialing.
- Set the outbound caller ID you want for your desk phone and customize its appearance in the line key settings.
A handset can be used to make an outgoing call as follows:
- Take hold of the headset.
- (Optional) Choose a line for the call if you have multiple lines:
- T4 series with physical line keys:
- Select the line key.
- T4/T5 series with a touch screen:
- Press a left or right line key.
- On-screen dial pads or the phone dial pad can be used to dial a number. By entering an extension number or name, you can find Zoom Phone users within your organization.
- Note:
- A few seconds may pass before results appear.
- Click Send.
You can use the speakerphone to make a call by following these steps:
- To make speakerphone calls, simply press the speakerphone button (normally located in the bottom-right corner of the phone).
- Choose a line if you have more than one:
- T4 series with physical line keys:
- Click a line key.
- T4/T5 series with a touch screen:
- Tap the left or right line key (located at the bottom or top right corner of the screen).
- You can use the phone’s on-screen or physical dial pad to call a number. Search your organization’s directory of Zoom Phone users by entering a name or extension number.
Note: - Results may not appear immediately.
- Please submit.
How to search the company directory
Note:
- If the company directory isn’t supported by your desk phone, you will not be able to use it.
- It is also available when you are on the phone.
- In case of difficulty accessing the company directory, restart your phone or ask your administrator to re-sync it.
- Press the Directory icon on the home screen.
- Select LDAP.
- Zoom Phone users can be found in your company’s directory by entering a name or extension number.
Note: - The results may not appear immediately.
- You can call users by selecting them and pressing Send.
How to receive a call
The caller ID name and number will appear as a call notification during an incoming call. It does not matter whether a Yealink phone was routed through your direct number, the main company number, or a queue that you’re a member of to receive a call notification – the notification will appear the same.
Note:
- You can identify incoming calls to a direct number, company number, or call queue in Zoom’s desktop client and mobile app, which shows more detailed call notifications.
- The Zoom desktop client and mobile app will sync your in-call status while you are on a call. Those you are in a Zoom call will be able to see it.

How to place a call on hold
T4 series without touchscreen
- Press the hold button or Hold while on a call.
- To resume the call, press Resume or Hold.
T4 series with a touchscreen
- If you are on a call, tap the Hold button or tap the touchscreen.
- To resume the call, tap the Hold button or tap the touchscreen.
T5 series with a touchscreen
- Press the Hold button or tap Hold on the touchscreen when you are on a call.
- Pressing the hold button or tapping the touchscreen will allow you to resume the call.
How to transfer a call
T4 series without touchscreen
- Press the Transfer or Transfer button while on a call.
- You will need to dial the recipient’s number. Dial the extension number of the internal user to transfer to.
- You can use any of the following methods:
- Blind transfer:
- You can transfer the call and hang up immediately by pressing B Transfer.
- Warm transfer:
- While you are transferring the call, you can press Send to put the call on hold. There are several reasons why this option is useful, such as navigating a machine that is answering the calls for you or speaking to the receiving party before a call is transferred to them. Select Transfer, and your call will be transferred to them.
T4 series with a touchscreen
- You can tap or press Transfer while you are in a call.
- To initiate the transfer, dial the destination number. If you are transferring internally, call the extension.
- You have two options:
- Warm transfer:
- When you press the Send button, the call will be placed on hold until the transfer is complete. Use this option if you want to talk to the receiving party before the call is transferred or if you need to navigate an automated answering machine. Then tap Transfer.
- Blind transfer:
- In order to switch a call immediately to another person, tap B Transfer.
T5 series with a touchscreen
- Press Transfer or tap Transfer while in a call.
- Enter the destination number. Enter the extension number of the Zoom Phone user you wish to reach.
- Tap Transfer and select the appropriate method:
- Warm transfer:
- To hold the call while the transfer is completed, tap Send. Use this option if you wish to talk to the receiving party before your call is transferred or if you need to navigate an automated answering machine. Then choose Transfer.
- Blind transfer:
- If you tap Transfer immediately, you will immediately be transferred and hung up.
How to start a three-way call
- Call now.
- Press conference or tap.
We will place the current call on hold. - Add a number to the call by typing it in or selecting it, then tap or press Conference.You will be taken to a new call.
- To merge the two calls into a three-way call, tap or press Conference.
How to view call history
T4 series without touchscreen
- Click the History button.
- Scroll through the call history using the directional pad.
- You can call the person back by pressing Send.
T4 series with a touchscreen
- On your home screen, tap History.
- You can navigate the call history using the directional pad or touchscreen.
- If you would like to call back, tap the name or number displayed on the caller ID.
T5 series with a touchscreen
- From the home screen, tap the icon for call history.
- Navigate the call history using the touchscreen.
- Call the caller by tapping the ID number or name.
How to check voicemail
Note:
In the event that you need access to a shared voicemail inbox, you can play the messages from your desk phone, but you cannot determine if the message is from a shared inbox. You can identify if the message is from a shared inbox using Zoom’s desktop client, mobile app, or web portal.
- To access your voicemail message center, follow these steps:
- To access your voicemail message center, press the Message button on your device.
- If you prefer to access your voicemail center via your desk phone, you can dial *86 to access the voicemail system.
- After you have entered your voicemail PIN, simply dial # to access your voicemail.
- Press one of these keys:
Key Description 1 Play all voicemail messages starting with your new (unplayed) messages. 2 Record a voicemail greeting. The greeting will be added to your Zoom Phone audio library. Note:
- Zoom also offers a web-based voicemail greeting option.
- Manage your voicemails by following the audio instructions.
How to set status to DND (do not disturb)
When you want to block all incoming call notifications to your desk phone, you can set your phone to DND (do not disturb).
Note:
- You can only set DND on one phone. In addition to this desk phone status, the Zoom desktop client and mobile applications do not sync with your other desk phones.
- You will no longer receive any on-screen or sound notifications for inbound calls when the status is set to DND.
T4 series without touchscreen
- On the home screen, press the DND button.
A DND icon will appear. - You can reset your status by pressing the button again.
T4 series with a touchscreen
- DND can be accessed from the home screen by tapping the button.
- It can be found at the top.
- It is also possible to reset your status by tapping the button.
T5 series with a touchscreen
- Then tap DND on the bottom of your screen after you swipe down.
The icon will be at the top of your screen. - To remove the status, follow the steps above.
How to use line keys
In these scenarios, your phone will show multiple lines:
- There are multiple direct phone numbers on your account.
- A call delegation setup assigns you the role of the delegate to make and receive calls for another user.
- As a member of that group, you can receive and make calls for others.
Line key labels
Note:
Change their labels and order by customizing your line keys. Depending on how many direct or shared lines there are, line keys are labelled differently by default:
- The line key label will display your name if you have only one direct number or if you have no direct number.
- Direct numbers are displayed on the line keys if there are more than one.

Selecting a line before making a call
- Choose a line:
- Touchscreen T4 and T5 models:
- On the home screen, tap on the line key.
- T4 series without a touchscreen:
- Hit the line key physically. A solid green light indicates that you are using it.
- You can also use the speakerphone button (normally found in the bottom-right corner of the phone) or pick up the headset.
- The screen will guide you through entering a number.
- Click or tap Send.
