Rename your Webex site in Webex Control Hub
There are a number of reasons why it’s possible to change the name of an existing Webex site. In some cases, organizations have changed their names, in other cases, they are just using their Webex sites for other reasons.
Overview
If you do not see the option to rename your site, you may want to contact the administrator of your partner if the site rename feature has not been enabled.
If you have a free or trial Webex site, you will not be able to rename it.
If the number of users on the Webex site exceeds 5000, then the option to rename the site will not appear to you. You should contact your Cisco partner that sold you the Webex services that you purchased from or your Customer Success Manager (CSM) to rename those Webex sites with more than 5000 users.
This site renaming process involves changing the name of a Webex site, updating meeting addresses, as well as updating the Webex site’s user attributes in order to reflect the new site name.
In order to rename the Webex site for your organization, it is recommended that you do so after your business hours or whenever a maintenance window is available, since the Webex site does not get renamed immediately. During the time that the Webex site is being renamed, there may be some people who cannot host or join meetings.
Redirect an Old Webex Site to the Renamed Webex Site
The old Webex site addresses can be redirected to the new Webex site address for a period of 90 days once you rename a Webex site. The old Webex address is automatically forwarded to the new one when you attempt to access the site using the old address. Also, the new address is forwarded to the meeting attendees so that they can attend the meeting. The old Webex site addresses stop working once the site renaming process has been completed if you decide not to redirect the Webex site after it has been renamed.

Known Issues and Limitations
General Limitations
-
As soon as the site renaming process has begun, it is not possible to stop it.
-
We recommend that you wait up to 24 hours before you rename your site. Webex site renaming takes a considerable amount of time depending on how many users are on the Webex site at any given time. There is a direct correlation between the number of users on a Webex site and the amount of time it takes to rename the site.
-
After you have completed the process of renaming your Webex site, you can choose to redirect your old Webex site to your new site if you want. If you decide not to redirect your old Webex site to the new one, you leave the old Webex site name available for other organizations to use.
Webex Hybrid Calendar Service
-
For previously scheduled meetings, the Hybrid Calendar Service does not update the meeting information regarding who will be joining the meeting. Users will not be able to start or join previously scheduled meetings if there is no redirect (or if the redirect has expired).
For users of the Webex App to be able to schedule meetings properly, they should update their Personal Room settings within the app in order to ensure proper scheduling. It is the administrator of the Hybrid Calendar Service who is responsible for updating the default configuration for the Webex site according to the deployment type:
-
Calendar Connector for Microsoft Exchange or Office 365—There is a default Webex site within the Cisco Conferencing Services Configuration section located within the Expressway-C connector host under Applications > Hybrid Services > Calendar Services > Configuration of Cisco Conferencing Services.
-
Cloud-based service for Office 365—If you are in Control Hub, you can access Services by going to the customer view. Click on the Edit settings icon on the hybrid calendar card in which there is an Office 365 logo.
-
Cloud-based service for Google Calendar—In the Control Hub, go to the Customer view, and then click on Services. Click the Edit settings button on the hybrid calendar card that has the Google Calendar logo on it.
-
Webex Meetings
-
The old Webex site that was created prior to the renaming of the Webex site cannot be started or connected to the new Webex site unless you have redirected it to the newly renamed one.
Control Hub
-
When you are renaming a site, you will be able to log in to Control Hub, but you will not be able to change any settings regarding the Webex site.
-
During the renaming process, do not add or modify users to the Webex site, and do not assign licenses to the Webex site in order to avoid any disruption to Webex services.
-
As a result of the Webex site being renamed, you will need to reassign the licenses of any users in your organization who have not activated their accounts in order to ensure that their user attributes are updated once the Webex site has been renamed.
-
In the user activation emails sent before renaming the Webex site, the Webex site address is not updated in the email address associated with the Webex site.
Video Devices and Webex Board
-
For meetings created before the renaming of the Webex site, the Join button will not work for video devices and Webex Boards included in those meetings. A new meeting must be scheduled with the new Webex site name after the existing meeting is canceled.
You will still be able to join on video devices and Webex boards without redirecting for 90 days if you do not redirect.
