Schedule, manage, and start a meeting for another host in Microsoft Outlook – Webex
If you have a host account, you can use the Webex Scheduler or the Webex Productivity Tools in Microsoft Outlook to arrange meetings for another host. These tools are accessible through Microsoft Outlook. If you manage someone else’s calendar or if the actual host is unable to schedule a meeting, you can access their Outlook calendar if they give you permission to do so. If the actual host cannot schedule a meeting.

You need to complete the following steps before you can plan meetings on behalf of another person:
- Check that the version of Webex Scheduler or Webex Productivity Tools that you and the actual host are using is the same.
- When using Webex Scheduler or Webex Productivity Tools, you need to make sure that you are signed in to your own personal Webex account.
1 From within the Calendar section of Microsoft Outlook, navigate to the Home ribbon and select Add Calendar > Open Shared Calendar…
2 After you have either typed in the name of the host or chosen Name to choose the host’s name, click the OK button.
3 Navigate to the host’s calendar, and then select one of the available selections from the list below:
- Utilizing Webex Scheduler, you can plan, organize, and begin meetings on behalf of that host.
- Using the Webex Productivity Tools, you may schedule, manage, and begin meetings on behalf of that host.
1 In Microsoft Outlook, navigate to the Calendar section and select the Open Shared Calendar button on the Home ribbon.
2 After clicking the Open button, enter the name or email address of the host, and then choose the calendar that belongs to the host.
3 Navigate to the host’s calendar, and then select one of the available selections from the list below:
- Utilizing Webex Scheduler, you can plan, organize, and begin meetings on behalf of that host.
- Using the Webex Productivity Tools, you may schedule, manage, and begin meetings on behalf of that host.
1 In the Microsoft Outlook web app, navigate to the Calendar and pick the Add calendar option on the left toolbar.
2 Choose the “Add from directory” option, then either type the host’s name or email address and click the “Add” button.
3 After selecting the host’s calendar, use Webex Scheduler to set up, manage, and begin attending meetings for that host.
