Scheduling privilege in zoom App
A scheduling privilege would allow an administrator or a user to do the following:
- You can assign or delegate the task of scheduling meetings on your behalf to other users in your account.
- The ability to schedule meetings on behalf of a user (or a group of users) on whose behalf you have been granted scheduling permissions. You can also schedule webinars for both users if they both have a webinar license.
It is essential that both you and the assigned scheduler have a license for the application, or that they are both on-premise users, and that users who have Scheduling Privilege can act as the alternate host for all meetings.
There is even the possibility of sharing a master/sub account scheduling privilege between linked accounts.
Notes:
- Make sure that your schedule privileges have not been modified if you receive a 3003 error when editing or cancelling a meeting for another user. Make sure that both you and the user you are scheduling for are licensed users as well.
- It is possible to choose whether or not users who have been assigned scheduling privileges in your Zoom web portal can manage your meetings that are marked as private in Outlook or Google Calendar. In addition, the users cannot view the invite link, the meeting topic, or the attendee list if they can’t manage private events.

Prerequisites for scheduling privilege
- It is essential that both users have a license or be on-premise
- Both users must be on the same account, or linked master/sub accounts
- in order to participate in webinars
- In order to schedule for another user using a Zoom plugin, add-in, or add-on, install the latest version:
- Outlook plugin
- Outlook add-in (Scheduling privilege is supported for the add-in on Windows 10 1909, as well as Outlook for Mac 2016, version 16.24 and up)
- Chrome/Firefox plugins
- G Suite add-on
How to set up scheduling privilege
- Zoom’s web portal can be accessed by signing in.
- Click Settings under the menu bar.
- The Meetings tab will appear.
- Choose Assign scheduling privilege next to Other.
- Type an email address or username under Users.
- Click Add if you wish to assign scheduling privileges to more users or email addresses.
- If you wish to allow users to manage your private events and view their details, select the Can manage my private events checkbox.
Note: - In versions 5.9.0 or higher, your private events will be visible to users, but with details hidden if they aren’t allowed to manage them.
- To save, click Save.
Upon successful assignment, the user will appear under Assign Scheduling Privilege to. However, before they are able to schedule for you, they will have to sign out of the Zoom desktop client, then sign in again.
In the event that a scheduling privilege cannot be assigned to a user because he or she is not on your account or is not licensed, an error message will be displayed.
How to schedule for another user (Zoom plugins, add-ins, and add-ons)
Make sure that you have the scheduling privileges set up as well as the latest version of the plugin, add-in, or add-on installed before you begin using it.
Note:
As well as calendar integration, you can set up the desktop client with third-party calendars if you wish to see scheduled Zoom meetings from those calendars on the desktop client.
Outlook add-in

- Utilize the Outlook add-in to schedule a meeting.
- You can do this by clicking Zoom and then Settings in the calendar event window.

Note:
The Office 365 support site may be useful if you would like to allow someone else to manage your Outlook calendar.
Outlook plug-in

- Use the Outlook plug-in to schedule a meeting.
- Click Change Settings in the toolbar when in the calendar event window.
- To schedule a meeting for a specific user, check the Schedule For check box.

Note:
In the case of a plugin, add-on, or add-on that schedules for another user, you will schedule the meeting for yourself. Consequently, Zoom will not display the meeting for the person you are scheduling. To change the user that the meeting was scheduled for, follow these steps once the meeting has been scheduled on the third-party platform:
- Log in to the Zoom web portal.
- Select Meetings from the navigation menu.
- Go to the third-party platform you scheduled the meeting in.
- Select Edit this Meeting.
- Select the user who assigned you scheduling privileges in the Schedule For drop-down menu, then save the meeting changes.
User can access the meeting through Zoom’s web portal, desktop client, or mobile app.
How to schedule for another user (Zoom)
Normally, in order to access the scheduling privileges, the user will need to leave the Zoom client and then re-enter the client to have the option appear.
- Sign in to the Zoom desktop client using your email address and password.
- Click the Schedule button.
A window with the scheduler will appear. - You can find the Schedule for section below the Topic section, and from the drop-down menu, you can select the user you want to schedule a meeting with.
- Make any other necessary adjustments to the meeting settings.
- Then click Save to finish the process and open up the calendar that you have selected.
- Zoom can be accessed by logging in.
- Click Meetings in the navigation menu.
- Click Schedule a Meeting in the top-right corner.
- In the Schedule For section of the window, you can select the user you would like to schedule for from the drop-down menu.
- You can also adjust other meeting settings as necessary.
- To complete the process, click Save.
The user given scheduling privileges will need to sign out of Zoom and then sign in again in order to see the scheduling privilege option.
- You will need to sign in to the Zoom mobile app in order to use it.
- You can do this by tapping the Schedule button.
- Select the Advanced Options option.
- Tap on the Scheduling Privilege option.
- Choose the user for whom you want to schedule a meeting from the list.
- Ensure that all other meeting settings are set appropriately.
- To complete the scheduling, tap Done.
How to transfer a meeting between users
Scheduling privilege can assist you if you have scheduled a meeting for someone, but you want the meeting rescheduled so that someone else is the host. Before the meeting begins, you are able to edit meetings and change the host as many times as you like before the meeting begins. While the meeting is in progress, any changes that may be made will not be reflected until the meeting is re-started.
- Log into the Zoom web portal by signing in with your Zoom account.
- On the left-hand side of the screen, click Meetings.
- From the drop-down menu, choose the topic of the meeting that needs to be adjusted.
- Click the Edit button.
- Select a new host from the drop-down list under the Schedule For section of the page.
Note: - If you wish to assign this meeting to another user, then you must already have scheduling privileges for both the current host and the user you wish to assign this meeting to.
- Once you have made your selection, click on Save.
The meeting should now appear on the list of upcoming meetings on the Zoom web portal, desktop client, and mobile app for the new host once the meeting has been transferred in the Zoom web portal, desktop client, and mobile app. During the exporting process, the event may be exported to or scheduled directly in a calendar service, such as Outlook or Google Calendar, in which case, please ensure the new host is included in the calendar invite as well.
Note:
You can also accomplish this with webinars, but you will need this add-on for all users (both the host and the user with scheduling privileges) to be able to do so.
