Scheduling recurring meetings in zoom App
It is possible to schedule meetings with multiple occurrences in Zoom, so that the same meeting ID and settings will be used in every occurrence. Depending on how the meeting is planned, you can do daily, weekly, or monthly meetings. Additionally, you can set up a recurring meeting that can be accessed at any time.
365 days after the last meeting was conducted, the meeting IDs for recurring meetings expire.

Notes:
- To improve your experience with Zoom, if you use Google Calendar (web or mobile), Outlook (desktop or web) to schedule meetings, you should install the Zoom add-on for that calendar service.
- Whenever you try to schedule meetings with a fixed recurrence pattern (e.g., daily, weekly, monthly), you will been unable to do so with your PMI since it is reserved so that you can start or schedule meetings whenever you want, similar to the no fixed-time recurring meetings.
- There is no fixed time for the recurring meeting if you schedule it using the Zoom desktop client, the Zoom mobile app, in Google Calendar, or in Outlook. Zoom will always create the meeting as a no-fixed-time recurring meeting. There is no way for recurrence patterns on Zoom to be reflected on the calendar event that has been created, but you can schedule the event with any recurring pattern you choose.
- It is necessary to schedule recurring meetings in the Zoom web portal in order for them to appear in individual meetings occurrences in the Zoom desktop client or mobile app. Otherwise, the meetings will only be shown on your calendar as individual occurrences and they will not be displayed as No Fixed Time in Zoom.
- The number of recurring sessions in a meeting can be up to 50, so if you require more recurring sessions than 50, click on the No Fixed Time option.
You will find the instructions below that explain how to schedule and add recurring appointments to either your Google Calendar or Outlook desktop client by using the Zoom desktop client.
When you prefer to schedule recurring meetings in your Google Calendar or Outlook desktop first, the meetings will automatically appear in your Zoom desktop client once you have completed the scheduling process. Learn more about scheduling meetings in Google Calendar or Outlook.
Scheduling a recurring meeting
- Zoom’s desktop client can be accessed by logging in.
- Set up a meeting by following the steps.
- Check the option for recurring meetings.
- Choose the calendar on which to save the meeting.
- To set up a recurring meeting, click Save to open the calendar you selected.
- Select the section that corresponds to your calendar selection below.
Setting the recurrence in Google Calendar
You’ll be prompted to sign in to Google to add recurrences to your calendar if you choose Google Calendar when creating a new recurring meeting in Zoom desktop client.
- Sign in with your Google account when prompted. Choose your Google account if you have already logged in.
- Select Allow to allow Zoom access to your Google account.
Your calendar will be updated with meeting details from Zoom. - Choose the recurrence you want for your meetings from the drop-down menu beneath the date and time options.
- Click Save to finish setting up the meeting.
Setting the recurrence in Outlook desktop
In the Zoom desktop client, when you create recurring meetings, you will see the Outlook desktop app open when you choose Outlook while creating the meeting.
Note:
In order for this to work on your computer, the Outlook desktop application must be installed. Zoom Scheduler is an add-in that can be added to the Outlook web app to set up recurring Zoom meetings.
- To make recurring tasks appear in Outlook’s desktop app, click Recurrence on the toolbar at the top.
- Afterward, adjust your recurrence settings before clicking OK.
- Now you can finalize your meeting options and click Send.
Viewing recurring meetings
In the Zoom desktop client, you can see a list of all the recurring meetings that you’ve scheduled.
- Connect to the Zoom desktop client by logging in with your Zoom account.
- From the Meetings tab, select the Meeting you would like to join.
- You will find your recurring meetings in the section labeled Recurring meetings on the left of the page.
- Clicking one of the meetings will provide you with more information and meeting options.
Scheduling a recurring meeting
- Connect to the Zoom desktop client by signing in with your Zoom account.
- From there, schedule a meeting by following the steps.
- To schedule a recurring meeting, check the option Recurring Meeting.
- To set up your recurring meeting, click Schedule to open the calendar you have selected and set up the meeting.
- Depending on which calendar you have selected, you will have to follow one of the following sections.
Setting the recurrence in Google Calendar
You’ll be prompted to sign in to Google to add recurrences to your calendar if you choose Google Calendar when creating a new recurring meeting in Zoom desktop client.
- Sign in with Google when prompted. Choose your Google account if you are already logged in.
- Zoom will be able to access your Google account if you click Allow.
A Google Calendar event will be created with the details of your Zoom meeting. - You can select the recurrence you want for your meetings in the dropdown menu below the time and date selections.
- Make sure your meeting options are correct and click Save to complete the process.
Setting the recurrence in Outlook desktop
In the Zoom desktop client, when you create recurring meetings, you will see the Outlook desktop app open when you choose Outlook while creating the meeting.

- To make recurring tasks appear in Outlook’s desktop app, click Recurrence on the toolbar at the top.
- Afterward, adjust your recurrence settings before clicking OK.
- Make sure all your meeting options are correct and click Send.
Scheduling a recurring meeting
- Sign in to the Zoom web portal by clicking the link below.
- Once in the Zoom web portal, click on Meetings from the navigation menu.
- From the scheduling screen, choose the time and day you would like to meet.
- Please select the check box next to the Recurring meeting option, which is below the Time Zone option.
- You can then edit the recurrence. By editing the recurrence you are able to specify how often and how many times a meeting takes place.
Note: - The maximum number of occurrences of a recurrence meeting is 50. The No Fixed Time option in the Recurrence dropdown menu should be used if you need more than 50 occurrences at a given time.
- In case the meeting is recurring and registration is required, please specify one of the following options:
- Attendees register once and can attend any of the occurrences:
- Registration is open to all occurrences. You will be able to see all dates and times of the webinar and you will be registered for all of them. All attendees will be included in the registration report regardless of which session they attend, while attendees will be included in the attendance report for each individual session.
- Attendees need to register for each occurrence to attend:
- There is a separate registration process for each event. On the registration page, there is a single option for date and time. Registers and attendees for each scheduled session will be listed separately in the registration and attendee reports.
- Attendees register once and can choose one or more occurrences to attend:
- Registrants can choose to attend one or more occurrences after registering once. Selecting the dates and time of the events they want to attend will only register them for those events. It is possible to select more than one option. Registrants and attendees for every scheduled session will appear in the registration and attendee reports.
- Select Save.
- When the meeting options have been selected, click Schedule.
Adding and editing occurrences
The following steps will explain how to add or edit a single occurrence to your recurring meeting.
- Log in to the Zoom web portal.
- Select Meetings from the menu.
- Select the topic for your recurring meeting.
- Click Show all instances next to the time of the meeting.
You will see a list of all the meeting times. Each meeting can be deleted or edited. Another session can also be added. Participants can export meeting invitations to a variety of calendars.
Note: - As previously stated, you will have to edit the recurrence of the meeting through your calendar service, such as Google Calendar or Outlook, if you previously added the meeting to your calendar.
Editing all occurrences
- Log in to the Zoom web portal.
- Under the Meetings link, you will find a list of available meetings.
- You can edit a recurring meeting by hovering over its name, then clicking the Edit button.
- As soon as you are asked if you wish to edit all recurring meetings, select Edit All Occurrences.
- You can then edit the recurring meeting as necessary.
Note: - In the event that you have already added the meeting to your calendar service, such as Google Calendar or Outlook, then you must still change the recurring nature of the meeting within your calendar service.
- Click the Save button.
Scheduling a recurring meeting
- Log in to the Zoom mobile app.
- Create a meeting by following the steps.
- Tap the Repeat option and select a recurring meeting.
- Click Schedule and add the meeting to your calendar.
You will be redirected to your default calendar app and you will be able to create a new meeting event in Zoom. - Please select the section below that corresponds to your calendar.
Setting the recurrence in Google Calendar
- Tap More options after selecting the date and time.
- Tick the Do not repeat box and select the recurrence option.
- You are now ready to finalize your meeting. To learn more, read our article on how to schedule meetings.
- Click Save.
Setting the recurrence in Outlook
- By tapping Repeat, you can select a recurrence option and then check it.
- Finish setting up your meeting. For more information, see our article on scheduling meetings.
- Click Save.
Viewing recurring meetings
Zoom’s mobile app allows you to view meetings that repeat.
- Log in to the Zoom mobile app.
- Select the Meetings tab.
- You can find your recurring meetings in the section titled Recurring meeting.
- Simply tap the meeting name to view additional details.
