Screen sharing a PowerPoint presentation in zoom App
Screen sharing a PowerPoint presentation in a Zoom meeting can be done in three different ways. A slide show can be shared while you view the presenter’s notes on another monitor if you have dual monitors. Alternatively, you can start the slideshow in a window so that you can access other meeting features while sharing your presentation.
Other participants can present portions of the PowerPoint with slide control in Zoom, so that they can move the slides on their end, without having to ask you to do so.
Dual monitors with slide show and presenter’s views
Follow these steps if you are using multiple monitors and want to view the presenter’s notes on one monitor, while presenting PowerPoint on the other.
- You need to open the PowerPoint file you want to present.
- Join or start a Zoom meeting.
- In the meeting controls, click Share Screen.
- From the list of monitors, select the one you want to share. Choose the monitor that opens PowerPoint if you are not sure which is your primary monitor.
- Return to PowerPoint and select Slide Show.
- Choose the Play from Start or Play from Current Slide options to start the presentation.
In slide show view, participants will see the PowerPoint presentation if you share your primary monitor correctly. The green border indicates which monitor is currently shared.
- A secondary monitor will display the presenter’s view. Use it to control your presentation and view your slide notes.
- Select Swap Displays if you are not sharing the correct monitor. Microsoft PowerPoint will change the monitor that displays the slide show.
- Alternatively, you can choose the screen showing the PowerPoint presentation in slide show mode by clicking New Share in your screen sharing controls.
Single monitor setup with slide show view in a window
Using these steps, you can share your PowerPoint presentation in slide show mode on a single monitor, but with it contained in a window rather than full screen. You can use this if you need to access meeting features, such as in-meeting chat or managing participants, while sharing a PowerPoint presentation.
- Present the PowerPoint file you want to use.
- Select the Slide Show tab and then Set Up Slide Show.
- Select Browsed by an individual (window) under Show type, and then click OK.
- Return to Powerpoint and click the Slide Show tab.
- Choose the Play from Start or Play from Current Slide options to begin the presentation.
A window will appear with the slideshow.
- Join or start a meeting in Zoom.
- In the meeting controls, click Share Screen.
- Choose the PowerPoint window and click Share.
Note: Don’t select the entire screen, just the PowerPoint window. You can use other features without interrupting the presentation by sharing only the PowerPoint window.
Single-monitor setup with slide show in full screen
- Present the PowerPoint file you want to use.
- Join or start a Zoom meeting.
- In the meeting controls, click Share Screen.
- In the Share Screen window, select your monitor.
- Return to Powerpoint and click Slide Show.
- Select the Play from Start or Play from Current Slide option to start the presentation.
Your shared monitor is indicated by the green border.
