Send email alerts for recording status updates – Webex
There are times when owners of recordings are unaware of the regulations that govern the reassignment and deletion of recordings on the site. You have the option to switch on recording status updates, which will assist owners in tracking changes to the recording state. Email notifications are sent to the owner of a recording if there is a change in the recording’s status, such as when it is reassigned or deleted.
If you enable this feature, hosts (or the owners of the recordings they control) will get notice emails if the following status changes occur for their recordings.

Automatic deletion—Webex will purge recordings that are older than the specified retention policy for your site automatically. This operation operates on a daily basis and relocates any recordings that have been erased to the rubbish bin. Recordings that have been in the trash for more than 30 days are removed from Webex automatically.

Reassignment—Administrators can assign ownership of recordings to a new owner. Reassignment is useful to preserve recordings when the original owner leaves the organization. Webex sends an email to the new owner, and if the account is still active, to the original owner.

Move to, or restore from the trash (Recording Management) page—Administrators have the ability to delete recordings from storage and then retrieve them from the trash.

Delete from, or empty the trash (Recording Management) page—The administrators have the ability to delete individual recordings from the trash or to empty the trash in order to delete all of the recordings.

Delete recordings (Edit User page)—Administrators have the ability to remove any and all recordings that belong to a user. Webex will send an email notification and relocate the recordings to the trash folder if the user account is still active. Webex will destroy the recordings permanently if the account is inactive for an extended period of time.
Site Administration
1 After logging in, navigate to the Configuration > Common Site Settings > Options menu item in Webex Site Administration.
2 Scroll down until you reach Site Options, and then select the box next to the “Send an email alert for all recording status updates” option.
3 Select the Update button.
Control Hub
1 Beginning in the customer view of https://admin.webex.com, navigate to the Services menu and pick Sites from the Meeting menu.
2 Navigate to the Webex site whose settings you would like to modify, and then click the Configure Site button.
3 Choose Site Options from the drop-down menu located under Common Settings.
4 Mark the box that says “Send an email alert for all recording status updates,” and then click the “Check box” button.
Check this box to get email notifications about any changes to the recording’s status.
5 To update, click the button.
