Set Your Webex Meetings Personal Room Preferences
There are several settings that you can modify in your Personal Room, such as its default name, URL, and host PIN, as well as designating alternate hosts or cohosts for your meetings in the Personal Room. Your Personal Room can be configured so that it automatically locks after the meeting begins in order to increase the level of security. It is impossible for a person to enter a locked meeting; he or she has to wait in the lobby until you let them into your meeting.
- Go to Preferences > My Personal Room on your Webex site and sign in to your account.
- By entering a new name for your Personal Room, you will be able to edit it.
There is a maximum length of 128 characters for your Personal Room name.
- Enter a new ID into the Personal Room link if you wish to edit it.
In order to link to your Personal Room, you must meet the following requirements:
-
The length of the message can range from 1 to 64 characters.
-
A minimum of one alphabetical character must be present in the name.
-
In addition, they must not contain any special characters or symbols other than hyphens (-), periods (.), and underscores (_).
-
There must not already be an existing account on the site with the same name.
I would suggest that in case your Personal Room ID is changed, you should update any existing meetings that have been scheduled to use your new Personal Room URL, since the old URL no longer works.
Using the Automatic Lock option, you can choose the number of minutes after which the Personal Room will be locked automatically after the meeting starts.
There is a choice between 0 minutes, 5 minutes, 10 minutes, 15 minutes, or 20 minutes. As soon as a meeting is locked, attendees must wait until they are admitted to the meeting before they can join.
- It is possible to receive an email notification when someone enters the lobby of your Personal Room while you are away, if you select Notify me by email when someone enters my Personal Room lobby while I am away.
- The Cohost field should be checked in order to allow cohosts to participate in meetings in my Personal Room.
You can choose for your Personal Room meetings to be co-hosted by another person or by using a video device by selecting one of the following options:
-
My Personal Room meetings will be hosted by a cohost selected by me
-
In the event that the first person who joins the meeting from this site who has a host account becomes a cohost, they become part of the meeting
-
If attendees who have host accounts on this site participate in my meetings using my Personal Room, they become cohosts if they are already host accounts
Enter the email addresses of your co-hosts and separate them with commas or semicolons if you need to do so.
- You can choose to enable or disable the ability for anyone to share content in my Personal Room by checking or unchecking the box.
There is the option to let or deny users the ability to share content during meetings in the Personal Room on your site when this feature is enabled.
- There are a number of options available for attendees who are mute:
-
Allow the host and cohosts to unmute participants (Moderated unmute mode)—As a host or cohost of a SIP-based video session, you can unmute participants directly without sending an unmute request to the other participant. You can access this feature on Webex sites that are running version 41.1 or later.
-
Allow attendees to unmute themselves in the meeting—It is possible to allow attendees to unmute themselves during the meeting if they have chosen to muffle themselves when they join the meeting. In this case, they select this option when they join the meeting.
The only person who should be able to unmute attendees should be the host or co-host, so make sure you uncheck this option.
-
Always mute attendees when they join the meeting—As soon as a new attendee joins the meeting, he or she will be muted automatically. If you are interested in speaking during a meeting, please raise your hand if you wish to do so.

What is difference between Webex meeting and personal room?
Hosts must start Personal Rooms on their behalf or by an alternative host they have designated. The host must enter their host PIN if they wish to join a Personal Room meeting by dialing in only, as opposed to joining a standard Webex meeting with the host’s PIN. This will be the only time those who wish to join will be able to do so.
What is my personal room in Webex?
In a Webex Personal Room, you have access to your own private virtual conference room, which can be used at any time for holding meetings. There is no need to book your Webex Personal Room ahead of time, and you will always be able to find it as soon as you want it. Discover the Personal Room Preferences, such as the name, the host PIN, and the notification settings for the lobby.
How do I add Webex preferences to Outlook?
The Cisco Webex group is located on the ribbon in Outlook on the left. From there, you can select Add Webex Meeting from the Cisco Webex group. The Cisco Webex Scheduler can be accessed from Outlook on the web, where you select the Cisco Webex Scheduler and then select Add Webex Meeting from the drop-down list.
Can Webex be used for personal use?
You will be able to join meetings with up to 100 people, watch HD video, share your screen, and you will even have a private room. If you are interested in using it, you may do so for free.
How do I unlock my personal room on Webex?
Unlocking the meeting can be achieved by going to More and selecting Unlock meeting. A locked meeting means that nobody, not even the host, can dial-in to the meeting. Whenever the automatic lock setting is enabled, or if the host locks the meeting manually, then the host needs to open the meeting first before it is automatically locked.
Why use Webex personal room?
Personal Rooms offer the following advantages over virtual rooms: Your personal room is always in the same location; your video address, URL, and call-in number will never change, and you have control over who can connect. If the video system or Webex room device or desk device from which the participant intends to join the meeting is enabled in their Meetings account, they can also join from the video device if they have that capability.
