Setting up an appliance as a common area phone in zoom
Using the Shared Offices feature of Zoom Phone Appliance, account owners and administrator are able to set up an unassigned phone that can be used by anyone in the office as a common area phone.
Prerequisites for setting up an appliance as a common area phone

How to set up an appliance as a common area phone

Zoom’s web portal can be accessed by signing in.

Select Phone System Management from the navigation menu and then click Users & Rooms to open the Users & Rooms section.

On the Shared Offices tab, click the Shared Offices button.
Note: In case you have signed up for a new Zoom account after May 21, 2022; or if you have enabled the New Common Area Experience in your Zoom account, Shared Offices have been migrated to the new Common Area tab in the Users & Rooms section of your account. -
Enter the following information in the Add field:

Site (only visible if you have multiple sites): In the drop-down menu, select the site you want the common area telephone to belong to.

Display Name: It is a good idea to give the phone a display name that will make it easier to identify it.

Description (Optional): You can enter a description of what you want the telephone to be used for so that it can be identified.

Extension Number: Select the extension number you would like to assign.

Package: Select a package for outbound calls that you would like to assign.

Then click on the Save button.

Click the Device Management option in the navigation menu, followed by the Device List option.

In order to set up your device as a common area phone in a Shared Office, simply select the display name of the device you want to assign.

Select the Shared Office option in the Assign To drop-down menu next to Assignment.
Note: You may need to click Remove from User if the appliance is already assigned to a user, and then click Remove to confirm the action. -
The display name of the Shared Office that was added in step 4, must be entered, and it must be selected and assigned.
As soon as the phone is rebooted, it will work normally again.
