To allow users to sign in and book a shared device
Maximize your office space and have users sign in and book their shared device with Hot desking.
By having employees sign in and book a shared device for the duration of their workday, your company is able to make the most efficient use of the office space that is available to it.
It provides customers with the benefits of a personal meeting device, such as notifications 5 minutes prior to the start time of meetings. Notifications are generated by the user’s own personal calendar, and users can easily join their appointments with the push of a single button. Hot desking provides users with access to all of the regular capabilities of Webex Meeting, such as a personal whiteboard. Users have the ability to begin a meeting in their Personal Room directly from Join Webex, and they have access to meeting controls for meetings that they host.
There is an option for a personalized Webex Assistant for Devices, which provides support for words such “Join my personal meeting room.”
Configuration
You must first create a Workspace in Control Hub, then assign Hot desking as one of the Workspace scheduling options before you can add this capability to a device. You can also add it to a workspace that is already in use.
By default, a reservation will be canceled at 5:00 p.m. However, it is adaptable to the needs of your organization. On Control Hub, this option is referred to as Hotdesking DefaultBookingEndTime.

Reserving a gadget
Once the service has been activated, users can sign in and book their device in one of two ways:
Enable the Cloud Proximity feature in order to use the NFC USB-C or QR code to sign in to Webex Edge. The steps to do so are as follows:

- It goes from Proximity to Mode to On.
- To turn on CloudProximity, go to the Mode menu.
Users must pair their device to their Webex App on their computer using a USB-C cable. Users must sign in and book their device using their computer in order to do so. There are no configuration steps necessary for this feature.
This function, which is exclusive to Webex Desk Hub, allows users to sign in and book their device with the use of their mobile phone. The user presses the NFC chip on their mobile phone up against the NFC icon on the Desk Hub for one second.
Users need to be aware of where the NFC chip is located on their mobile phone in order to have a successful NFC experience. Because the chip is placed in a different location by each manufacturer, end users should review the manual that came with their phone. Users of Apple products, on the other hand, will find the chip to the right of their camera. It is located in the centre of the phone for those who use Android.
There are a few older models of phones that do not support NFC. Additionally, thick protective cases have the ability to obstruct the NFC chip.
By default, NFC pairing will be enabled. You do so by using the Hot desking parameter found in Control Hub to turn it off. You can activate or deactivate NFC pairing by navigating to BYOD > NFCPairing and setting the setup as follows:
Enabled signifies that the NFC pairing is active, and you are now able to sign in to Desk Hub using NFC.
Disabled: The NFC pairing does not currently have any active connections.

Calls and Hot desking
Because a device used for hot desking is shared, it is important to keep in mind the following information regarding calling:
The directory number (DN) for the workspace is what the device makes use of. Even when they are not signed in, users are able to utilize it to make and answer phone calls.
The user’s individual DN is re-provisioned into the device whenever a user successfully logs in. Call history and the user’s Webex calendar will load onto the device if they have it configured to do so. The user is able to utilize the device in the same manner on which they would use their own smartphone to make phone calls and participate in WebEx meetings.
When the user logs out, any personal information stored on the device is deleted to protect their privacy.
Limitations
Before activating the functionality, make sure you are aware of the following restrictions:

- Rather than using the gadget in personal mode, use it as a shared workplace instead.
- Users can only sign in and book devices within the same organization or cluster in which they were originally assigned. It is not possible for you to sign in to devices that belong to a different organization or cluster.
- You are not permitted to make use of a combined calendar in the workspace.
