Use the Webex Meetings desktop app
The Meetings desktop software provides a centralized location from which you can access the controls of the Meetings site that you use most frequently. You can connect a video device to a meeting by using the Meetings desktop app, which also allows you to quickly view your scheduled meetings, initiate new meetings, and join existing ones.
Start a meeting
The Meetings desktop software provides users with multiple entry points to choose from when initiating a meeting. You can initiate a meeting in your Personal Room by selecting the option to do so from the dashboard.
To begin a meeting that you have planned, go to the Upcoming Meetings section and click the Start option that is located next to the meeting name.
Up to five minutes before the start of your scheduled meetings, the Start button will display.
If you have already connected to a video device, when you select the Start button, the meeting will begin on the device to which you are already connected.
Join a meeting
You can attend a meeting by entering a meeting number, a meeting link, a video address, or the host’s Personal Room ID in the attend a Meeting field and then pressing the Enter key on your keyboard.
Within the Personal Room connection is where you’ll be able to locate the host’s Personal Room host ID. For instance, if the connection to the Personal Room is example.webex.com/meet/jparker, then the Personal Room ID that the host uses is jparker.
You also have the option to select the Join button that is located next to the meeting name in the list of Upcoming Meetings.
Depending on the preferences of the host, the join button may not display until up to 15 minutes before a meeting is scheduled to begin.
To enter a recently joined Personal Room, go to the Recent Personal Rooms list, click on the enter a Meeting field, and then choose a profile picture from the list of available options. You can select the More icon in the bottom-right corner of the screen if you want to look at other rooms that you have recently entered.
When you select the Join button, you will automatically be joined to the meeting on any video device to which you are already connected at the time.
View your meeting list
You can view a summary of your upcoming appointments by going to the Upcoming Meetings section of the website. You can choose to organize a meeting through either the Webex site you have access to or through Microsoft Outlook.
Go to the Preferences menu if you want to activate or modify how you schedule meetings using your calendar. You can do either of these things by going to the Preferences menu. Please see the “Set Your Preferences” page for further information.
You can examine your meeting list for any date on the calendar by selecting Calendar next to the date that appears in the Upcoming Meetings section.
Connect to a device
Make use of the Meetings desktop app’s choice to “Connect to a device” in order to search for video devices that are compatible with the app. Following the same steps will allow you to connect to video devices that are either on-premises or cloud-registered.
The Meetings desktop software makes the connection between Webex devices by using the microphone on your computer to listen for ultrasound signals transmitted from Webex devices. There is no recording that is either saved or transmitted to Cisco.
You have the option to connect to a nearby video device and attend a meeting from that device whenever the Meetings desktop app detects a video device in the vicinity. When you select the Join button, if you’re already paired to a device, that device will automatically join the meeting.
You can select Join meeting using this video system if you want to participate in the following meeting with the help of the video system.
When you’re connected to a device, you’ll have the ability to share material locally using a Webex share device or a video device, depending on which device you’re using.
This function is only accessible for websites that are managed by Control Hub or for websites that are managed by Webex Site Administration and are linked to Control Hub. Get in touch with the administrator of your site if you want to know where the site is administered.
Set Your Preferences
You can check your account settings, choose how you want to be notified about meetings, activate plug-ins that you want to use with the Meetings desktop app, and do a lot more in the preferences section of your account.
You can gain access to your settings by doing one of the following:
- Launch the Meetings desktop application and log in to your account.
- To change settings in Windows, click the cogwheel symbol. After that, choose Preferences from the menu that drops down.
- On a Mac, go to the application menu and choose Cisco Webex Meetings. After that, choose Preferences from the menu that drops down.
- Click the Save button after configuring each of your preferences.
- You have the ability to make the following changes:
General— You can configure the manner in which your app will launch whenever you switch on your computer.
Account— Check out your user name, email address, and the URL of your Webex account. Click the Change button if you wish to make use of an alternative URL for the Webex site.
Meetings—
Adjust the parameters for both your Calendar and Meet Now. You can configure the default settings for instant meetings by using the Meet Now button. You can also select whether or not your instant meetings take place in your Personal Room, but this choice is determined by the parameters for your site. Windows: The Meetings integration to Microsoft Outlook needs to be turned on in your configurations if you want to be able to use it. To turn it on, go to the Preferences menu and select the Integrations option.
Notification— You can choose how much time before a scheduled appointment you want to be reminded of it by using the corresponding drop-down menu.
Video Devices—Connect your computer to a video source. To identify nearby devices automatically, toggle the slider to the “On” position.
Integrations— Connect the Meetings desktop app with the calendar, Microsoft Office, and browsers.
