Using a Zoom Rooms for Touch whiteboard
Whiteboards are available in Zoom Rooms for Touch. Then you can invite others to view and annotate the whiteboard session. An image file can be sent to email recipients you specify at any time to save the whiteboard image and annotations.
If you have a touchscreen monitor that supports multi-touch, your whiteboard will also support up to 10 touch points.
Prerequisites for using the whiteboard in Zoom Rooms for Touch
- on Windows are version 5.3.0 or higher
- and Windows 8.1 or later
- installed with the Touch drivers
- Dual or single touchscreen monitor
or
- Zoom for Home compatible device
How to start a whiteboard session and use the controls
- Tap Whiteboard at the top of the screen.
- At the bottom of the screen, the whiteboard control bar allows you to switch from the default color (black) to another color (red, yellow, green, or blue) to draw on the screen.
Other features include:

- RETURN TO HOME: Return to the home screen after closing the whiteboard.
- The moon icon changes the whiteboard background to black.
- Save icon
: Email the whiteboard as an image or PDF.
- Add page icon
: Add a new whiteboard page. After adding a page, you will see an icon showing the number of pages
. Tap this icon to see view and delete pages.
- Drawing tools
- NEW SHARE: Start screen sharing. You will be able to access the drawing tools after starting the screen share.
- START MEETING: Start a meeting and share the whiteboard with participants. After starting a meeting, you will see these options in the bottom-right corner:

- Mic icon: Mute or unmute the Zoom Room‘s mic.
- More icon (…): Access the integrated controller.
- END MEETING: End the meeting for all participants.

How to use the drawing tools (free form and smart recognition drawing)
You can use two types of drawing methods in Zoom Rooms for Touch after starting a whiteboard session:
- Zoom will not smooth out your lines or automatically convert your drawings into shapes. The whiteboard will display your drawings exactly as you drew them.
- Zoom automatically smooths out your lines and converts your drawings to shapes after you draw on the touchscreen monitor.
Note: These tools are also available when annotating on a participant’s screen shared.
- Choose a pencil or shape from the bottom bar.
- Select a drawing method:
- Free form: Select None. You can also change the line thickness.
- Smart recognition: Select Shape to turn on smart recognition drawing. You can also change the line thickness.
- Choose a color and touch the screen to begin drawing.
- Tap the screen to draw.
- Click the undo icon
to undo your last drawing or click the trash bin con
to clear all drawings on the currently opened whiteboard.
How to invite participants to a whiteboard session
By starting a meeting, you can share a whiteboard session with remote participants. The whiteboard that you have been using is available to share with the participants you have invited to the meeting.
The whiteboard session will appear on the touchscreen monitor if Zoom Rooms for Touch is configured with dual monitors. The video of participants will appear on the regular monitor if Zoom Rooms for Touch is configured with dual monitors.
- From the home screen, tap Whiteboard.
- Tap a color and begin drawing.
- Tap START MEETING in the bottom-right corner.
- Tap the ellipses icon (…) in the bottom-right section to display the integrated controller.
- Tap Invite in the meeting controls.
- Type in the contact‘s name in the search bar to find them.
- Click Invite when you find them.
You can share a whiteboard with the participants, and they can annotate it using Zoom’s whiteboard annotation tools.
How to save a whiteboard session
Sending an email containing an image or PDF of a whiteboard session can be used to save and share a whiteboard session, including annotations.
There will be a separate image for each page of your whiteboard. Selecting PDF will create a single PDF file containing all whiteboard pages.
- Begin a whiteboard session.
- Tap on the save icon in the whiteboard controls.
- If you have multiple whiteboard pages, you will be prompted to select the ones you want to send.
- Enter an email address to send the whiteboard to.
- In the bottom-right corner, select a format for the whiteboard. Select PDF if you have multiple whiteboard pages and want to send them in a single file.
- Tap Send.
The whiteboard will be sent with the subject line Saved Whiteboard Image(s). The sender will be the room name.
How to restrict sending whiteboards to internal users (admin)
For added security, Zoom Rooms for Touch whiteboards can be restricted to allow sharing only with internal users. Users can enable this option at the account or device level.
- To do so, log into Zoom.
- Next, select Zoom Rooms from the Room Management menu.
- You can enable this setting for a specific room or location using location hierarchy. You can also enable it for your entire account by clicking Account Settings.
- Choose Meeting.
- Click Send Whiteboard to Internal Contacts Only to enable it.
