Using SMS in Zoom

Using Zoom Phone SMS, you will be able to send, receive and reply to text messages (SMS) using either Zoom’s desktop client or Zoom’s mobile app. Using SMS with a call queue or automatic receptionist is also an option that you can consider.

  • How to reply to an existing SMS conversation

  • How to use SMS features

Prerequisites for using SMS

  • The user will be able to receive SMS messages only if SMS is enabled by the administrator, otherwise they will not be able to

  • Zoom Phone calling plan

    Note:

    • It is not possible for users of extension-only phones to send SMS messages

    • You are able to send and receive SMS from any US or Canadian telephone number with the Zoom Phone Metered, Unlimited, or Pro Plan for domestic use

    • There may be charges associated with SMS when used with other calling plans 

  • Direct phone number in the U.S. or Canada

  • It is only possible to send messages from US or Canadian phone numbers

  • SMS messages can be sent to international phone numbers through your admin if it has been enabled for this purpose

      Note: Sending images via international SMS is not supported at the moment.

  • Zoom desktop client or mobile app, version 5.4.7 or higher

  • Note: Desk phones are not supported for sending SMS messages. 

    • How to compose a new SMS message

    Note: If you are sending an SMS (text) or group SMS (text) to the emergency telephone numbers listed in the US and Canada, you will receive an error message stating that text-to-emergency service is not available, and that you should instead call the numbers listed. In the event that you do not cancel the call within the 10 seconds countdown, the system will automatically call those emergency telephone numbers on your behalf. 

    1. Using Zoom Desktop or Zoom Mobile, you will be able to log in to your account.

    2. To access the Phone tab, simply click or tap it.

    3. The SMS tab can be accessed by clicking or tapping on it.

      Note: Ensure that all of the prerequisites have been met if you are not seeing the SMS tab. 

    4. Under the SMS tab, you will find a compose icon that you can click or tap.

    5. It is possible to search through your contacts directory by entering a name or phone number at the top, or you can manually enter a phone number by entering it manually. The number of contacts / phone numbers you can add is up to ten.
      There is no difference between the number and the name of the recipient if the recipient is already in your contacts directory, otherwise, the phone number will remain a phone number.

        Note: To send a text to a contact whose phone number has multiple numbers, click the right arrow icon and then select the number you wish to send the text message to.

    6. Let me know what you think.

    7. The message has been sent.

      • Desktop client: Click on the Enter key on your keyboard.

      • Mobile app: Open the app and tap the send icon.

    How to reply to an existing SMS conversation

    1. The Zoom desktop client or Zoom mobile app can be accessed by logging in.

    2. To access the Phone tab, simply click or tap it.

    3. The SMS tab can be accessed by clicking or tapping it.

    4. An SMS conversation can be accessed by clicking or tapping on it.

    5. Please enter a message here.

    6. Let me know what you think.

      • Desktop client: Click on the Enter key on your keyboard.

      • Mobile app: To send a message, tap on the send icon.

    How to use SMS features

    It is possible to use the following features while writing a new SMS or replying to an existing conversation:

    Send images (JPG, PNG, and GIF files)

      Note: There is a limit to the number of images you can send at any one time. Using an international phone number does not allow you to send images (also called MMS) if you are sending them from an international source.

    • Desktop client:

      1. To select an image, click on the File button and then select the image you wish to use.

      2. Enter a message to be sent along with the image if you wish.

      3. You will need to press the Enter key in order to send the image.
        You will be able to see more information about the image and the text in Zoom Phone if you have also entered a message. Depending on the SMS service that the other SMS participant is using, the chat bubbles may appear differently to them.

    • Mobile app:

      1. The plus icon can be found by tapping the plus icon.

      2. To send an image, tap the Photo Album icon on the left side of the screen.

      3. Click on the Done button.

      4. If you want to send a message with the image, you can type it in here (optional).

      5. To send the image, you need to tap on the send icon on your device.
        Zoom Phone will display the text and image you entered along with your message in a single chat bubble if you also entered a message. Depending on how their SMS service is set up, there may be separate chat bubbles for each participant.

    Call the other SMS participant

    On the top of the screen, there is a phone button that you can click or tap.
