Using the Shared Backgrounds App in Zoom

This is a great way to ensure everyone has the right background for every meeting, so you won’t be bothered to worry about sending backgrounds around the organization and explaining to your colleagues how to do the same. It will save you the hassle of explaining how important it is to have the right background for every meeting.

Using a single click, you will be able to create the combined background that your team needs for sales demos, customer calls, events, or rather for hiding the mess in their rooms every day and in just a few minutes, everyone will have the same coordinated background for the meeting.

In the event you need a background quickly, Shared Backgrounds can be used in both a meeting and outside of the meeting as a way for your team to browse background images that they can use on a regular basis in case you need one last minute.

Prerequisites

  • Client for Zoom on the desktop

    • You will need to have a version of Windows that is at least 5.7.3

    • Version 5.7.3 of macOS or higher is required

  • If you have a Zoom account, please click here

  • A Shared Backgrounds app URL has been added to the URL Allowlist of your network or firewall by your administrator: https://shared-backgrounds.zoomapp.cloud/

 

How to install from the Zoom App Marketplace

In the Zoom Desktop client, there is an app called Shared Backgrounds included with it, which can be accessed from the Apps list on your desktop.
To install the app manually:

  1. The Zoom Marketplace can be accessed by logging in

  2. Click the Add button after you have searched for Shared Backgrounds.

  3. Click Authorize after reviewing the permissions that have been requested.
    When it has been installed, the Zoom Desktop client will display the app in the Apps section as soon as it has been installed.

 

How to use the Shared Backgrounds App

A Zoom meeting can be started from the Apps tab within the Zoom client, where you can select Shared Backgrounds app from the list of apps. After being authorized, any member of your team has the ability to share and add backgrounds to the profile of their teammates.

How to uninstall from the App Marketplace

  1. Go to the web portal of the App Marketplace and log in.

  2. When you click Manage, you will be able to see the Added Apps section.

  3. The Shared Backgrounds app can be removed by clicking the Remove button next to it.

 

Data Security

During Zoom meetings, in order for the application to remain open, it uses the zoomapp:inmeeting scope, as well as allowing users to set up their virtual background during Zoom meetings by using the zoomapp:inmeeting scope. In the Zoom privacy statement, you will find information regarding the way Zoom collects, uses, and shares the personal information that it collects.

The following is a list of the Zoom Apps SDK methods that are accessible to this app via the SDK and their descriptions have been provided in the app:

  • A virtual background can be set by using the setVirtualBackground method.

  • It is possible to remove users’ virtual backgrounds by calling the removeVirtualBackground method.

  • In the openUrl method, a user is able to open a URL within the browser on their device when they are logged in.

  • Inviting other meeting participants to use the app in the meeting can be done by sending the sendAppInvitation function.

  • Shows a Zoom dialog that will allow the user to select specific individuals in the group to whom the app invitation will be sent.

  • When a user sends a meeting invitation via the app, the onSendAppInvitation event is triggered.

  • The function gets the display name, the role that the user is going to be assigned to the meeting, and the temporary identifier of the user by executing a function called getUserContext().

Why can't I use backgrounds on Zoom?
It is important to keep in mind that there are some limits to the size and format of the files you can use as a Zoom meeting background; for example, if you want to use an image, you can use GIF, JPG/JPEG, or 24-bit PNG files; the resolution can be 1920 by 1080 pixels; and the file size can be up to 5MB. When it comes to videos, it is better to use MP4 files or MOV files, and the resolution should be between 480 pixels by 360 pixels and 1920 pixels by 1080 pixels, and you should either use MP4 or MOV files for your videos.
How do I add a background template in Zoom meeting?
In order to set up a virtual background for your iPad, you will need to select Settings and then click the Virtual Background option while on your iPad’s home screen. You can begin using your desktop application as soon as you have entered your desktop application. As soon as you choose Settings, you will be able to see a number of options available to you. There is an option in that menu to add a bespoke background to your Zoom virtual background, and you can easily add it from there.
Where are Zoom custom backgrounds stored?
A custom virtual background can be created in the following ways: Images or movies can be added as Virtual Backgrounds for the Zoom desktop application if they are placed in the following folder: macOS – /Users/USER_NAME/Library/Application Support/zoom.us/data/VirtualBkgnd_Custom for the Zoom desktop application. How do you change the Zoom background before a meeting?
On mobile devices, you can change the Zoom background by selecting the appropriate setting Open the Zoom mobile app on your Android or iOS device and sign in to the app. You can join the meeting even if you do not want to turn on the video. Selecting Virtual Background on the Android version or Background and Filters on the iOS version will allow you to change the background. Using the + sign, you can upload a new image or choose a background you would like to use.
Can you create a custom Zoom background?
It is possible to add custom images as backgrounds for each Zoom Room in your account, or you can select a Zoom Room, floor, or location within your account that you want to use custom images for to create a background for that Zoom Room, floor, or location in your account by using the Zoom web portal.
