Ways to add users to your Control Hub organization – Webex
You have the option to prevent automated emails from being sent to your users and instead send your own email invitations manually if you utilize any of these methods, which send an automatic email invitation to your users.
Before you add users, you can set up your automatic license assignment template. When you add new users to the system using any of the available methods, the licenses that are contained in the template are automatically distributed to those new users.

With Webex Directory Connector, you may add users to your company’s Active Directory and then synchronize those users from your Active Directory. This functionality is only available to companies that use Active Directory. Your company’s Active Directory must be synchronized with the backend Cisco cloud directory in order for your users to access cloud services such as Webex Meetings and Webex App services. The Directory Connector is a crucial tool for achieving this synchronization. Once you have finished adding users with this approach, you can allocate services to those users by selecting one of the following methods:

You will be able to add Webex as an application if you are managing users with Okta or Azure AD, and then you will be able to synchronize users from those directories into your organization that is controlled by Control Hub. There is no need for any infrastructure or hookups to be installed on the premises. This connection ensures that your user list is always up to current, regardless of whether a user was just added, changed, or removed from the application in Okta or Azure AD. |

The strategy that involves adding individual users by email or updating services for users one at a time is the simplest one. We strongly suggest that if you are utilizing Webex App as part of a trial project, you add a few users through this approach so that those users can test out the services and become familiar with them. You will not be able to manually add users to Control Hub if you choose to synchronize your users from a directory such as Active Directory. To add your users, you can use the Directory Connector. |

The upload of a CSV file is the most efficient approach to add up to 20,000 users all at once. You start by downloading a spreadsheet template in the form of a CSV file (which stands for comma-separated values), entering the email addresses of all of the individuals you wish to add, and then uploading the file to your organization. |

You have the ability, in your capacity as a customer administrator, to take ownership of the Webex accounts of any of your users who signed up for an account on their own. They will be able to use the features that are included in the subscription for your organization once you have taken these steps. During the examination of user claims, you can also check and alter the license assignments that have been given to these users. Only personal Webex accounts are eligible for use of the move content capability. It is possible to move a user from one enterprise organization to another, but you won’t be able to take their Webex discussions with them. When you remove your initial organization, all of the data that is linked with it, including data for all users, is deleted from the system in an irreversible manner. You will lose data such as messages and files stored in Webex App, as well as all of the data stored in Webex Meetings, including Webex Meetings URLs and meeting recordings. When a person is claimed, every piece of content they have stored in a previous organization will be removed from that organization forever. |

Users are said to have engaged in “self-registration” when they voluntarily register themselves for Webex. This can be accomplished by anyone using any of the Webex clients; all that is required of them is to supply an email address as an identification.
We also use the word “sideboarding” to refer to the situation in which one user encourages another user to join Webex, and the invited user signs up for Webex on their own without the involvement of the inviting user’s organization. When customers sign up in this manner, Webex establishes their accounts in a general organization that contains all of the ‘free’ users. Free users are users who are not part of a paid subscription to Webex services, hence their accounts are created in this organization by default. If you are in charge of operating a “paid” organization, this may result in some more administrative work for you. Imagine that the email addresses of your company are something like user1@example.com and user2@example.com. User3 downloads Webex and registers for the first time with their email address user3@example.com. This step occurs independently of any other user creation process.By default, Webex will establish a user3 in the organization’s general group. Before you may manage user 3’s services in the same way that you manage user 1 and user 2, you will first need to claim the user as a member of your organization. You may prevent this situation from occurring by staking your claim to the domain example.com before other users sign up. In the event that your company makes use of single sign-on and an auto-assignment template, the process flow for user3 would look something like this: They will provide their email address, which is user3@example.com, after downloading the software. Because someone else already has claimed this domain, user3 will not be able to join the whole organization. After the user has been created by Webex via the sideboarding method, they will be redirected to your identity provider (IDP). They go through the process of authenticating themselves at the IDP before gaining access to their Webex account. User3 is now able to begin utilizing Webex after the license service in Control Hub provided them with the services that were outlined in the Auto License Template. |
