A shared channel is an online space within your team or organization where you and other members are able to collaborate with each other. You can allow people outside your organization to participate in shared channels without switching between organizations.

In order to find out why a shared channel is a better alternative to other types of channels, please read on.

Who can share a channel?

In addition to sharing their channels within and outside of their organizational structure, those who own channels can share their channels with other channels in and outside of their organizational structure, as well as with the teams they own.

Read the Share a channel with people article and the Share a channel with a team article if you wish to find out more about sharing a channel with others.

This feature has to be enabled by the admin in order for people or teams to be added. Visit the Collaborate with external participants in a channel page if you are interested in learning more about this.[/su_note]

[su_note note_color=”#ffddf1″]Note: There will always be an update on the shared channel whenever a team member joins or leaves the organization, and the updated team member list will be posted on the channel when the update is made.[/su_note]

Who can create a shared channel?

A shared channel can be created by a team owner. It is the team owner who becomes the channel owner when they create a shared channel for their team.

Learn more about creating a shared channel by visiting the Create a shared channel page.

What is a host team?

When the owner of a team creates a shared channel for their team, they become the host of the channel since they are the person who has created it. The shared channel is part of the host team and sits inside of it. A channel owner will be able to share their channel with the host team, and can also add people to a shared channel without the need to add them to the host team.

The Microsoft Teams platform. In a shared channel, people inside and outside of your organization and team can collaborate and communicate with each other. In a shared channel, members outside your organization can interact without switching organizations in order to participate.
Teams are essentially a collection of channels of various types, including standard channels (which are open for everyone to use and visible to everyone) and private channels (which are for focused, private conversations with a specific audience).
Teamwork and communication in Teams occur through channels, which form the basis of teamwork and communication. In a team channel, messages, tools, and files are shared in a single place so that all members of the team can access them. If you would like, you can organize channels based on groups, projects, features, or anything else you find relevant to you. Team members can adjust or limit how many notifications they receive from the channels they’re a part of.
  1. Select More options from the menu when you are viewing the channel you wish to share. If you own a team, you can share the channel with them.
  2. Select the team name from the list and type in the name of the team. After that, select Done at the bottom of the screen. Shared channels are accessible immediately to the members of your team who receive a notification when the channel is shared.

Shared channels can only be created by team owners, and only sharing channels may be added to teams or shared with other teams by their owners. In order to be able to access shared channels, you will have to be invited to them, so that you can be a member or an owner of the channel if you want to access them. Sharing channels cannot be converted into private and standard channels, nor can they be converted back into shared channels.
Make a private channel available to members by adding them
In order to add someone to a team, they must first be a member of the team before they can be added. Members can be added to the group. To add or remove members along with assigning roles, you will need to use the Members and Settings tabs. There can be up to 250 members in your private channel, with multiple owners.
