Zoom Rooms digital signage
If the room is not in a Zoom meeting, you can display images, videos, and websites using digital signage. It is also possible to create digital signage only rooms that can display content without having to deploy the whole Zoom Room system. When you add multiple images or websites to be displayed, the image or website will rotate through them and you will be able to decide how long each image or website will display for. You can even set how long the content should be displayed before and after you have scheduled a meeting. A user can set content on a room, floor, location, or account-level basis.

Prerequisites for digital signage
- Owner, administrator, or role with editing access to Zoom Rooms
- Recommended hardware for Zoom Rooms
- Version 4.1.5 of Zoom Rooms for macOS (33237.0924) or higher
- Version 4.1.5 (33237.0925) or higher of Zoom Rooms for Windows
- And Version 3.6.2895.1130 or higher of Zoom Rooms for Chrome OS
Image specifications
- 1920px by 1080px, JPG/JPEG or 24-bit PNG format
- With a minimum height of 960px.
- The maximum width is 1920px
- With a minimum height of 540px
- The maximum height is 1920px
- The maximum image size is 15MB
Video specifications
- MOV, MP4, AVI, WMV, or H.264 are supported formats
- With a maximum video size of 1GB
- The recommended resolution is 720p or 1080p
How to enable or disable digital signage
On the Display Signage tab, you can toggle digital signage on or off. By disabling digital signage, you will be able to keep all your current content and settings.
- Zoom’s web portal can be accessed by signing in.
- Select Zoom Rooms from the navigation menu.
- From the left-side hierarchy, choose a floor, room, or location. By clicking the name of a floor in the hierarchy, you can edit all the rooms on that floor.
- You can edit a room or location by clicking the Edit button.
Note: - Click on the HQ icon next to the first option in the hierarchy to edit all rooms in the account.
- Select Digital Signage.
- Make sure the toggle is set to ON.
How to upload to the content library
By uploading images and adding URLs to the content library, you can add them to individual locations, floors, or rooms later. An admin could choose from these brand images to apply them to the locations, for example, after your marketing team uploads their branding images to the content library. When you upload content to a room, floor, or location, it is only available at that location, but when you upload it to the content library, it can be accessed across the entire account.
- Zoom’s web portal can be accessed here.
- Select Digital Signage Content from the navigation menu.
- Click Add then Add Content in the upper right-hand corner.
- You can choose from the following types of content:
- My Computer:
- From your computer, upload a JPG/JPEG or PNG file.
- URL:
- Display a website by entering a URL, such as http://zoom.us. External videos can also be displayed by entering the URL from a video streaming service.
- Select the items to be added.
You can now add the items to a location, floor, or individual room in your content library.
How to add content to a location, floor, or room
You can also add content directly to a floor, room, or location. Content not added to a central repository will not be stored there.
- Zoom’s web portal requires a Zoom account.
- Select Room Management from the menu on the left then Zoom Rooms on the right.
- From the Zoom Rooms menu, select a room hierarchy location that you would like to edit. Using this method you are able to set the same content to all rooms in a floor, for example. In the hierarchy, click the Floor name.
- Select the Edit button above where you want to set the content to. Depending on the level of the account, the location, the floor, or the room, you have the ability to perform this action.
- For the entire account:
- Click Account Settings in Zoom Rooms.
- For a location:
- Select a location in Zoom Rooms. From the top, click Edit.
- For a floor:
- Click on the arrow next to the location in Zoom Rooms. Choose the floor from the list. At the top, click Edit.
- For a room:
- The Zoom Rooms location can be accessed by clicking on the name on the left. Select the floor by clicking on its name. From the room name, click on Edit.
- Click on Digital Signage.
- Select Add Content from the Content List.
- To add content, select one of the following tabs:
Note: - Multiple items can be selected across different tabs.
- My Computer:
- Locate and upload files from your computer. In addition, you can drag and drop files from the file manager on your system.
- Instructions:
- Choose pre-loaded images that explain Zoom Room‘s basic features.
- Content Library:
- You can select an image from the content library or a URL from the content library.
- Zoom Assets:
- Go to the analytics wallboard for Zoom Phone.
- Playlist:
- Go to your digital signage playlists and select them from the list.
- URL:
- Using the URL field, you can display a website, such as Zoom.us. A video can also be displayed by entering the URL for a streaming service.
- Click Add.
- Changing the content settings, as well as the content’s duration and order, can be done optionally.
- Click on Save.
How to create a digital signage playlist
Creating a centralized digital signage playlist of images or videos can simplify management of digital signage content. The playlist can then be applied simultaneously to several locations.
- Zoom’s web portal can be accessed by signing in.
- Then, click the Digital Signage Content link in the navigation menu.
- Click Add, then click Create Playlist.
- You can give the playlist a name to make it easier to identify.
- Select an image or video to add to the playlist. Files can also be added from your system’s file manager by clicking and dragging.
- Once you’ve added all the files, click Add Item. Once you’ve added all the files, click Add Item.
The playlist will be displayed in a preview. - Click the Publish Playlist button.
- Then click Publish to apply the playlist to the locations or rooms you selected.
Editing an existing digital signage playlist
Note:
You will automatically see the changes you make when you edit an existing playlist, since the playlist is applied to all the locations or rooms the playlist is applied to.
- Sign in to the Zoom web portal using your email address and password.
- Select Room Management then Digital Signage Content from the navigation menu.
- Select the playlist you wish to edit in the Playlist section.
- You can add more images or videos by clicking on Add Content. Changing the content’s name, duration, and order is also possible by following the instructions.
Note: - The playlist that is currently applied to all locations or rooms will automatically be updated.
- For an optional change to the locations or rooms the playlist is applied to, click the Publish Playlist tab, click the locations or rooms you wish to apply the playlist to, then press Publish.
How to change the name, order, and duration of the content
- See what is available at a specific location/floor/room or playlist.
- The following actions are available:
Reorder items
- Reorder content items by dragging and dropping. To move up or down, click the ellipses (…) icon.
- Scroll down and click Save.
Rename an item
Note:
Content items can be identified by their names. Zoom Rooms does not display them.
- You can rename content items by clicking the ellipses (…) icon next to them.
- Type a new name.
- At the bottom, click Save.
Delete content
- Remove an item by clicking the ellipses (…) next to it. When you click the check boxes, then click the Delete Selected link at the bottom, you will be able to delete multiple items.
- Once you have finished, click Save.
Change the content duration
Note:
The screen displays each item for 5 seconds by default.
- Click the pencil icon when you hover over the duration.
- You can specify a duration (hours/minutes/seconds) by clicking on the numbers.
- Then click OK.
- At the bottom, click Save.
How to change content settings and layout
Your display content can be customized in terms of its settings and layout, including how long before and after a meeting they appear on screen, and if the screen shows the meeting room name, time, sharing key, and local weather. Adding content is necessary before choosing content settings and layout.
- A location/floor/room’s content list can be accessed.
- Here are the options:
Display period
Digital signage can be displayed before and after a meeting, depending on how long you want it to last. If you want the content to appear before or after a meeting, enter the number of minutes before or after it is scheduled to start. At the bottom, click Save.
Mute
All content sounds should be muted. Muting the sound from videos can be useful if you do not want to hear them.
Top banner
- On the digital signage preview, click Edit Banner in the lower left-hand corner.
- Choose any options you wish to enable or disable, then click Save.
- Then click Apply.
Layout
- Choose one of the following options in the Layout section:
- Standard:
- Provides a standard layout in which only one item of content is shown at a time.
- Video + Content:
- Displays a video and an image simultaneously.
- You can display local weather conditions on the digital signage screen by selecting Customize Display, then Edit Weather.
Note: - If you select Video + Content, you will be able to display local weather conditions. You cannot add web links to the Video + Content layout.
- You can display local weather conditions on the digital signage screen by selecting Customize Display, then Edit Weather.
- Click on Save.
How to add a digital signage only room
It’s possible to add a Zoom Rooms license-free digital signage-only room. The room can also join a meeting, be invited to a meeting, or share a screen within the meeting room in addition to displaying digital signage. A meeting cannot be started from the room.
- Access Zoom’s web portal by logging in.
- Under Room Management, click Zoom Rooms.
- Add a room.
- Give the room a name.
- Select Digital Signage Only as the room type.
- Select Finish or Save & Add Another to continue.
