Create And Manage Legal Holds in Slack

What to expect

  • When initiating a legal hold, it is possible to encompass both message and file data from all discussions, or alternatively, just focus on the direct communications in which a member is actively engaged.
  • When a hold is implemented, all messages and files transmitted by participants in a conversation will be preserved, irrespective of retention settings or any subsequent modifications or deletions made by the participants.
  • Data that is subject to a legal hold can be retrieved either through an export or by utilizing the Discovery API.
  • In the event that a channel that is part of a hold is destroyed, it should be noted that any message and file data associated with that channel will not be retained or preserved.
  • Messages and files originating from Slack Connect channels or direct messages are not encompassed within the scope of legal holds.Advice: If you hold the position of principal owner in an organization or workspace, it is recommended that you acquire knowledge on the process of assigning individuals to the compliance admin system role.

Create a legal hold

  1. To access your workspace, just click on the name of your workspace located in the top left corner of your desktop screen.
    To access the desired options, navigate to the menu and select “Settings & administration.” Subsequently, locate and click on “Organisation settings.”
  2. Navigate to the “Security” section located on the left sidebar, then proceed to choose the option labeled “Legal holds.”
  3. To initiate the process, please choose the option labeled “Create Legal Hold.”
  4. Please include the name of the hold and, if desired, a description.
  5. The user is prompted to choose the discussions they wish to include, followed by the ability to choose a date range if desired.
  6. Please choose the option to include custodians. Please choose the individuals that you like to include in the hold, and afterwards click on the “Add” button.
  7. Please select the “Save” option.It is worth noting that a legal hold has the capacity to include a maximum of 1,000 custodians. However, it is important to highlight that there exists no restriction on the quantity of legal holds that one may establish. In the event that the custodial limit is reached, it is possible to initiate a fresh legal hold specifically for the remaining members who have not yet been included.

Edit a legal hold

Modifications can be made to a legal hold in order to alter the name, description, or the composition of custodians encompassed within it.

  1. To access your workspace, just click on the name of your workspace located in the top left corner of your desktop interface.
  2. To access the desired options, navigate to the menu and choose “Settings & administration.” Subsequently, locate and choose “Organisation settings.”
  3. Navigate to the “Security” section located on the left sidebar and proceed to choose the option labeled “Legal holds.”
  4. To modify the particulars of a legal hold, please click on the symbol consisting of three dots adjacent to it, and afterwards choose the option labeled “Edit details.”
  5. Revise the nomenclature, depiction, or composition of individuals within the “Custodians” category.
  6. Please select the “Save” option.

Please be advised that modifying the date range or selecting specific conversations to be included in a legal hold is not a feasible action.

Release a legal hold

  1. To access your workspace, locate and choose the name of your workspace shown in the upper left corner of your desktop interface.
  2. To access the desired options, navigate to the menu and choose “Settings & administration.” Subsequently, locate and choose “Organisation settings.”
  3. Navigate to the “Security” option located on the left sidebar, followed by the selection of “Legal holds.”
  4. To release a legal hold, please click on the three dots icon adjacent to it and afterwards choose the “Release” option.
  5. Please click on the “Release” button to confirm.
